Description We are actively searching for an Office Assistant to become a part of our team in BAY HARBOR ISLANDS, Florida. The role is crucial within the Local Government industry and offers a short term contract employment opportunity. As an Office Assistant, you will be instrumental in handling office tasks, such as filing and scanning, managing phone lines, and maintaining a high level of organization. Your core responsibilities will include: Handling and directing phone calls as required Efficiently processing numeric and paper filing tasks Ensuring the accurate and timely entry of data Maintaining a systematic approach to scanning and organizing office documents Utilizing basic office skills to streamline operations and improve efficiency Resolving inquiries and providing assistance where necessary Monitoring and managing customer accounts as needed Addressing and resolving customer inquiries in a timely manner Performing strong typing tasks to ensure accurate documentation Undertaking additional office duties as required to support the team. Requirements Demonstrable experience in numeric filing, with an emphasis on accuracy and efficiency. Proven ability to handle paper filing tasks, maintaining an organized and effective system. Skilled in scanning documents, ensuring high quality digital copies are produced. Possesses basic office skills, including the use of office equipment and software, managing emails, and handling phone calls. Familiarity and understanding of local government operations and procedures. Strong communication skills, both verbal and written, for interfacing with various departments and the public. Excellent organizational skills, with the ability to prioritize tasks and work independently. High school diploma or equivalent educational qualification. Higher qualifications in a relevant field would be advantageous. Ability to maintain confidentiality and handle sensitive information with discretion. Demonstrated ability to work in a team environment, contributing to a positive and supportive work culture. Flexibility to adapt to changing work demands and schedules.
