Minimum Qualifications: Experience involving the acquisition or appraisal of real estate, the management of real property, the relocation of people, the analysis of space inventory and utilization data or the construction of buildings. This experience can substitute on a year-for-year basis for the required college education. Preferred Qualifications: Preference may be given to candidates with a bachelor's degree from a college or university with a major in business, engineering or building construction. Requirements: Employment in this position is contingent upon a satisfactory Level 2 background check at no cost to the candidate. Office hours are from 7:00 A.M. to 3:30 P.M. Position Overview and Responsibilities: The incumbent will be responsible for providing administrative and clerical support to staff in the Facilities Administration Office. The duties include but not limited to: Assist in a shared leadership role by planning, programming, scheduling, and report creation with the CMMS program (Computer Maintenance, Management System) for Non-Asset PMs (Inspections), Asset Management, Asset PMs and Asset Predictive PMs and/or other data base experiences. Proactively complete assigned non-asset PMs (safety walks and inspections). Assist in creating and assigning corrective work orders as a critical need of Facilities team. Perform by understanding/following all safety related rules to include OSHA, NFPA, FWRI, etc. Perform vendor registration checks and set up accounts for Facilities Management. Create PO’s and contracts with approved vendors. Assist in managing various contracts for Facilities Management and becoming certified in FCCM (Florida Certified Contract Manager). Assist in maintaining Facilities Management SharePoint Portal. Assist in backing up the Front Office and Logistic Operations. Assist in researching and communicating to outside vendors/contractors needed to complete the necessary projects within Facilities Management. Assist as a back-up of utility invoices and FWC internal tracking for FWRI St. Petersburg and Cedar Key. Assist in communicating to the FWRI Staff at-large all necessary information needed to be in tune to Facilities Management programs and projects. Assist in purchasing needed supplies, equipment and tools for the facilities team. Assist in the P-Card tracking system P-Card Works. Assist in the hurricane and storm preparedness program. Assist in the planning, setup and take down of Marine Quest outreach project and work overtime if needed. Performs other duties as assigned.Knowledge, Skills and Abilities: Knowledge of the principles and techniques used on a facilities teams, such as work order systems, preventative maintenance programs, and typical business routines. Follow industry safety guidelines and procedure, with an OSHA 10 certification, or able to be trained in the first year. Follow verbal and written instructions, communicate effectively both verbally and in writing. Valid driver's license. Working knowledge of Microsoft office software, especially Excel, Word and Outlook and ability to manage a database. Knowledge in project management, and/or willing to be trained Ability to listen to FWRI staff concerns and help communicate their needs to others within the facilities team. Ability to research necessary contractors/vendors and assist in writing a scope of work that needs to be completed.
