Position Summary

The candidate will provide administrative support to attorney(s)/paralegal(s), answer telephones for attorney(s)/paralegal(s); and produce legal documents including but not limited to correspondence, medical records and billing requests and drafting/responding to emails.

The candidate will also assist with special projects as required and perform traditional secretarial tasks such as typing, dictation, answering the phones, and keeping track of calendars and schedules.

Responsibilities

Provide high level secretarial and administrative support to attorney(s)/paralegal(s)

Maintain schedules and calendars

Prepare legal documents, correspondence and emails

Answering the phone, taking messages and assuring they get to assigned paralegal/attorney

Collecting, scanning and disbursement of all incoming mail, faxes and emails

Filing all medical records and correspondence into appropriate hard file

Printing new client sign up packets for in person new client consultations (Intakes, Contracts, HIPAA’s). Prepare

attorney/paralegal for all in person meetings/consultations and sending out sign up package via DocuSign to new

clients.

Set up new client files (paper files and/or Cloudlex)

Ensuring kitchen is kept clean and tidy (i.e. dishes, counters, refrigerator)

Birthday Cards/Holiday Cards

Welcome clients/guests by greeting them in person or on the telephone
