We are a busy construction company in Ocala, FL specializing in electrical, plumbing, and HVAC services. We are seeking an experienced and detail-oriented Secretary to join our team immediately. The ideal candidate will have previous administrative experience in a construction or trade-related office environment and be capable of handling multiple tasks with accuracy and professionalism.

Key Responsibilities:

Answer phone calls, emails, and direct inquiries to the appropriate departments.

Schedule and coordinate appointments, meetings, and job site communications.

Maintain organized digital and paper filing systems for contracts, invoices, and project documents.

Assist with daily office operations, including data entry, timekeeping, and job scheduling.

Prepare and distribute project correspondence, reports, and job-related paperwork.

Track material orders, deliveries, and subcontractor documentation.

Support management with administrative tasks, permitting paperwork, and document tracking.

Greet visitors and ensure a professional front-office experience.

Requirements:

1+ years of experience as a secretary or administrative assistant (construction office preferred).

Strong organizational and communication skills.

Proficient in Microsoft Office (Word, Excel, Outlook).

Knowledge of QuickBooks, project management software, or construction scheduling tools is a plus.

Ability to multitask and work independently in a fast-paced environment.

Reliable transportation and punctual attendance are required.

Compensation:

Starting pay: $19.00 per hour

Full-time, 40 hours per week
