Description We are seeking an experienced Full Cycle Accounts Payable (AP) & Accounts Receivable (AR) Clerk with a background in the construction industry to join our growing team. The ideal candidate will have 3-5+ years of experience managing the full cycle of AP and AR processes and proficiency in QuickBooks. This role is vital to ensuring the accurate and timely management of all financial transactions related to accounts payable and receivable, including handling vendor payments, customer billing, and related accounting tasks. Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential.Key Responsibilities:
Full-Cycle Accounts Payable (AP):
Manage all aspects of the AP process, including receiving, verifying, and processing invoices.
Ensure proper coding of invoices to appropriate job cost and general ledger accounts.
Prepare and process payments (checks, ACH, wire transfers) while ensuring timely disbursement to vendors.
Maintain vendor records, resolve any discrepancies or inquiries, and perform monthly vendor reconciliations.
Monitor and track subcontractor compliance documents (e.g., lien waivers, insurance certificates).
Full-Cycle Accounts Receivable (AR):
Generate and send out accurate and timely customer invoices, ensuring proper documentation and contract terms.
Follow up on outstanding receivables, track aging reports, and manage collections.
Apply customer payments and manage customer accounts, ensuring accuracy in accounting records.
Reconcile customer accounts and resolve any billing issues or discrepancies.
Prepare lien releases and waivers as needed for payments.
General Accounting:
Assist in month-end and year-end closing processes by reconciling accounts payable and receivable balances.
Prepare journal entries related to AP and AR activities.
Maintain accurate financial records and filing systems.
Collaborate with the finance team on budgeting, forecasting, and reporting as needed.
Construction Industry-Specific Tasks:
Manage job costing and project-related financial documentation.
Track and verify project expenses and ensure compliance with contractual terms.
Assist in the preparation of construction-specific reports, such as AIA billing.
Requirements
Qualifications:
Experience: 3-5+ years of experience in full-cycle AP and AR, preferably within the construction industry.
Software: Proficient in QuickBooks; experience with construction-related software (e.g., Procore, Sage, etc.) is a plus.
Education: Associate's degree in accounting or related field preferred, but not required with equivalent experience.
Strong knowledge of accounts payable/receivable best practices, accounting principles, and job costing.
Ability to work independently and prioritize tasks in a fast-paced environment.
Excellent communication skills, both written and verbal.
High attention to detail and accuracy in all financial tasks.
Problem-solving skills and ability to work collaboratively with vendors, customers, and internal teams.
