Description Administrative Assistant needed to support Director of Human Resources and Team.Responsibilities:

Manage email inbox for the Director of Human Resources Benefits, including review, escalation, filing, summarizing, and responding.

Take charge of calendar management for the Director of Human Resources Benefits, including arranging meetings and managing time-related priorities.

Ensure a high level of confidentiality in all tasks and communications.

Collaborate with Senior Managers of Human Resources, Associate Experience Managers, and Benefits Operations Manager and their teams.

Oversee records retention and filing, both electronically and physically.

Assist in maintaining the team's scorecard and team SharePoint.

Plan and coordinate team events and vendor meetings.

Maintain comprehensive work instructions for job duties within the team.

Support copying, printing, and distribution of various communications and materials.

Handle facilities service requests and follow-ups.

Coordinate onboarding for new team members, including equipment orders and setup, IT requests, and other related tasks.

Answer phone calls and organize travel arrangements for team members.

Complete and submit expense reports for team members.

Maintain Human Resources department budgets and provide reporting as needed.

Manage central supplies inventory by checking stock, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.

Act as a back-up to the Sr. Benefits Administrator to process invoices.

Support data entry and reporting in various platforms as needed.

Assist with departmental communications, including drafting emails, presentations, and reports as needed.

Maintain and audit security for shared drives, folders, and distribution lists.

Hours are 8am-5pm Monday through Friday no overtime required. Company offers a full benefits package including 401K with company match. Skilled in answering inbound calls and maintaining a professional communication style. Demonstrable experience in managing email correspondence effectively and promptly. Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word. Experience in scheduling appointments and managing a complex calendar. Ability to complete expense reports accurately and in a timely manner. Knowledge of records retention policies and procedures. Experience in coordinating travel arrangements for senior members of staff. Proven capability in calendar management and coordinating meetings. Must have a strong attention to detail and organizational skills. Excellent verbal and written communication skills. Ability to work independently and as part of a team. Willingness to take on new tasks and challenges. Ability to manage time efficiently and prioritize tasks effectively.
