Maxim Healthcare Staffing is looking for a qualified Administrative Assistant to s upport the Tobacco and Substance Use Prevention and Control (TSUPC) Team. The Administrative Assistant schedules meeting rooms, orders supplies, take notes during Workgroup meetings and provides other administrative support as needed. The Administrative Assistant is responsible for reviewing invoices Program Managers receive from vendors. The Administrative Assistant ensures the invoices are completed correctly, communicates with the vendor as needed, stages the funding lines required to pay the invoice and reconciles invoices. The Administrative Assistant submits the invoices for final review and approval to the Program Managers. The Administrative Assistant will have some contact with vendors and the general public through oversight of the Program’s phone line and email. ResponsibilitiesCandidate will plan and schedule meetings and appointments.

Organize and maintain paper and electronic files.

Conduct research and provide information via the telephone, postal mail, and e-mail.

Other Administrative Assistants duties as assigned.

Qualifications

High school diploma or GED required

Associate’s degree (A.A.) or equivalent form two year college or technical school or six months to one year related Administrative Assistant experience and/or training; or equivalent combination of education and Administrative Assistant experience preferred.

Ability to work independently with little direct supervision.

Ability to establish and maintain positive professional business relationships with the branch level leadership and office staff.

Strong organizational skills and attention to detail.

Excellent oral and written communication skills.

Experience with Microsoft office required.
