SummaryThe Administrative Supervisor reports directly to the Site Project Manager and is responsible for all oversight of administrative screening personnel working at FLETC Training Delivery Points (TDP,s) The Administrative Supervisor will be responsible for scheduling, staffing, and will track all required personnel certifications for the site. This position is responsible for overall daily performance and works directly with Site PM and Training Coordinator along with respective functional support areas such as recruiting, HR, operations and finance. The Administrative Supervisor is required to be fully knowledgeable of all administrative screening processes and procedures. The Administrative Supervisor is responsible to perform access control screening functions of employees and visitors for Federal Law Enforcement Training Center (FLETC) Training Delivery Points (TPD’s) owned or leased buildings and property. The Administrative Supervisor will follow all temporal forehead scanning Standard Operating Procedures (SOP's) for persons entering FLETC facilities to ensure the safety of employees and visitors.Responsibilities

Required to follow all company personnel and safety policies, and perform all assigned duties in a safe work manner.

Source information includes applications, petitions, forms, supplemental documentation, agency decisions, and other documents.

Modify, update, and correct data contained in automated systems.

Maintain Comprehensive Data platforms.

Perform data inquiries and searches on automated systems; generate records and reports from these systems; and perform searches.

Will be required to wear Personal Protective Equipment (PPE).

Will carry out general and special orders for area assigned.

Will conduct Forehead Temporal Scanning/temperatures of any incoming guests/personnel upon entry of gate/building.

Maintain poise and self-control under stress.

Read, speak, understand, and apply printed rules, detailed orders, instructions, and training materials in English.

Control access to buildings and property, protect equipment and material, and perform interior and exterior facility security inspections as directed.

Respond and assist medical, fire department, law enforcement, and other personnel at the direction of supervisors. Construct and write clear, concise, accurate, and detailed reports in English.

Must be able to work flexible hours to include weekends and holidays if needed.

Qualifications

Associates degree in a related field. Two (2) years of experience in security or medical clerical position.

Experience within security, civilian or comparable military police environment. Equivalent education/experience is applicable.

Minimum of two (2) years of specialized experience directly related to the work performed.

Must have 2+ years data entry and 3+ years’ experience in an office environment.

Must have the ability to handle high volume of redundant typing and prioritize and organize time and work efficiently while and maintaining excellent attention to detail.

Must have working knowledge of database systems, data entry platforms and knowledge of PC Windows environment.

Must be task oriented; self-motivated and have the inherent ability to multi-task, work under pressure, meet deadlines and work as a team member.

Effective oral and written communication skills.

Excellent interpersonal skills.

Must be able to obtain a security clearance, but not required to start.

Must be able to meet drug testing and alcohol – free workforce requirements to include random drug and/or alcohol testing.

Knowledge, Skills and Abilities:

Knowledge of standard office and administrative practices and procedures including business letter writing, records management, report preparation, and filing methods, correct English usage, including spelling, grammar, punctuation and vocabulary; modern office methods, equipment and procedures.

Ability to provide varied technical and administrative assistance; use initiative and sound judgment within established guidelines; organize, coordinate, and prioritize a variety of assignments with varying deadlines; work effectively under pressure with frequent interruptions; handle difficult, confidential, and sensitive assignments; organize and maintain a variety of confidential records, reports and files.

Skill in operating a personal computer and standard office equipment.

Must have proficiency in a variety of computer software applications in word processing, spreadsheets, database, (MSWord, Excel, Access, PowerPoint), and Outlook.
