Executive Assistant to President and CFODescriptionThe Executive Assistant provides high-level administrative support to the CEO and CFO.Conducts research, responds to requests for information, prepares and proos correspondence, arranges conference calls, schedules meetings, and events, and performs other duties as directed by the CEO.Position Requirements:
Build strong relationships with the senior leadership team, peer colleagues, and other stakeholders across the business to drive operational efficiency and strategic effectiveness.
Serves as a liaison with senior leadership team, and other leaders regarding project updates, proposals, and planning.
Coordinates adherence to deadlines and completion of reports and projects within the team.
Act as an extension of the CEO and team, working closely with other supporting positions and informally leading other assistants to provide support to the organization.
Schedules meetings, appointments, and other events; notifies attendees, coordinates travel accommodations, including corporate jet, and makes necessary arrangements.
Assists with the creation and modification of correspondence, presentations, spreadsheets, and other business documents.
Coordinates calendar for CEO and CFO, plans meetings, conferences, and travel arrangements and processes expense reports.
Schedule, prepare, and attend senior leadership team meetings to include setting agendas, documenting notes, and coordinating follow-up actions.
Improves current processes and practices, and optimizes organizational procedures for consistency, efficiency, and productivity
Professionalism and diplomacy are required to interface with senior management, cross-organizations, internal and external customers, or community officials.
Reads, analyzes, and sorts incoming correspondence, memos, and submissions, determines their priority, and distributes them to appropriate company officials.
Promptly notifies the CEO of high-priority matters that may arise.
Independently handles routine matters; prepares responses to correspondence containing routine inquiries.
Screens calls and directs them to appropriate personnel.
Other duties and projects as assigned
QualificationsQualifications:
Exceptional computer skills including intermediate or higher-level proficiency in Microsoft Office PowerPoint, Excel, Word, Outlook, and other business applications.
Able to exercise a high degree of initiative, judgment, discretion, and decision-making to achieve objectives including the ability to handle confidential issues.
Demonstrates a high level of integrity and a proactive approach to customer service.
Ability to handle complex assignments under minimal supervision
Strong planning and organizational skills and demonstrate key attention to detail demonstrated track record of project management
