Job Description

As a Site Administrator, you will be an integral part of the team with an opportunity to make a difference!

Job Responsibilities:

  • Coordinating travel itineraries, agendas, advances, expense reports, visa application through Concur
  • Scanning documents and compiling binders with technical data
  • Filing, typing, letters, memorandums, interoffice communication, handle confidential reporting
  • Prepare various reports and presentations including monthly Budget Presentations using MS Office
  • Support HR team with various administrative duties, onboarding, projects and presentations
  • Order supplies, lunches etc. as necessary

Meeting Coordination:

  • Coordinate and plan quarterly “All Hands Meeting”
  • Coordinate all on/off-site meetings & events
  • Set up meetings for the Site Leader
  • Facilitate CAPEX and CPEx monthly meetings with leadership members (web meetings)
  • Coordinate meetings with corporate functions
  • Facilitates all customer visits

Reception:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries
  • Monitor and grade the comprehension test for all incoming potential employees before their interview
  • Maintaining Employee and Department directories
  • Maintains security by following procedures; Maintaining Visual Compliance Visitor Checks,monitoring logbook; issuing Visitor Badges & Maintaining a scanned folder of all Visitor request forms
  • Sorting all incoming and outgoing mail
  • Constantly run Visual Compliance checks for Purchasing
  • Make necessary travel arrangements for Visitors when requested
  • Order Food and Beverages for Meetings and Visitors

Qualifications

  • Minimum of 3-5 years of experience as an Executive Administrator, Office Manager
  • Advanced MS Office skills, (Word, Excel, PPT) Oracle, Concur, AS400
  • Experience in a manufacturing environment is a plus
  • Outstanding organizational skills, detailed-orientated, the ability to prioritize, and meet deadlines
  • Ability to work well with others
