Description We are seeking a proactive and detail-oriented Administrative Assistant to a government contractor. In this role, you will provide essential administrative and office support to ensure the efficient operation of our organization and compliance with government contracting requirements. The ideal candidate should have excellent organizational skills, a meticulous attention to detail, and the flexibility to thrive in a fast-paced environment. Office Management and Administrative Support:

Manage schedules, appointments, and calendars for team members and executives.

Screen, distribute, and respond to incoming correspondence, including emails and phone calls.

Organize and maintain filing systems, both physical and electronic, to ensure compliance with required regulations.

Documentation and Reporting:

Assist in the preparation and submission of contracts, invoices, and other vital documents in accordance with government standards.

Generate periodic reports, analyze data, and track important deadlines for project deliverables.

Review and edit documents for accuracy, grammar, and adherence to formatting guidelines.

Client and Government Liaison:

Serve as the first point of contact for internal team members and external stakeholders, ensuring professional and clear communication.

Assist in coordinating meetings with government agencies, clients, and subcontractors.

Compliance Support:

Help ensure adherence to federal, state, and local compliance, including FAR (Federal Acquisition Regulations) and other applicable guidelines.

Maintain and track certifications and licenses required for contracts and personnel.

Requirements

Skills and Qualifications:

Experience:

2+ years of administrative experience, preferably in government contracting or a compliance-driven environment.

Education:

High school diploma required; associate’s or bachelor’s degree preferred.

Technical Skills:

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and database management software.

Familiarity with federal procurement processes, government databases (e.g., SAM.gov), or contract management software is a strong plus.

Soft Skills:

Strong attention to detail and ability to stay organized while managing multiple priorities.

Excellent written and verbal communication skills required to interact professionally with government and agency personnel.
