Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide essential support to ensure the smooth operation of our office. This is a dynamic role that requires excellent organizational skills, the ability to multitask, and strong communication skills.
Duties:
Hiring, training and managing staff, including development of work schedules
Ensuring compliance with laws and regulations
Preparing budgets and billing patients
Maintaining clinic records and data
Working with nurses and other staff members to ensure high-quality patient care
Schedule employees based on patient needs
Oversee the organization of all patient records
Stay up to date on healthcare laws and regulations
Offer recommendations to decision-makers on ways to improve the efficiency of the office
- Provide administrative support to the management team
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and edit documents, reports, and presentations
- Assist with project coordination and follow-up on action items
- Handle incoming calls, emails, and correspondence
- Maintain office supplies and equipment inventory
- Assist with event planning and coordination
- Perform general office duties such as filing, scanning, and photocopying
- Provide customer support and address inquiries or issues
Skills:
- Proven experience as an Administrative Assistant or similar role
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with QuickBooks for basic bookkeeping tasks
- Knowledge of Google Suite (Gmail, Docs, Sheets) for collaboration and document management
- Strong proofreading and editing skills to ensure accuracy of documents
- Experience with front desk operations and phone systems
- Excellent project coordination skills to manage multiple tasks simultaneously
- Ability to plan and execute events with attention to detail
- Exceptional customer service skills to provide support to clients or customers
- Strong organizational skills to maintain files, records, and schedules
