Summary StatementThe Mayor’s Office is searching for a vibrant and enthusiastic Executive Assistant to join forces with Boise's trailblazing first female mayor in creating a City for Everyone. This role thrives within a dynamic and fast-paced team environment, where you'll engage with all 12 departments and 4 offices of the city, working collaboratively to manage the mayor's schedule and handle administrative duties on her behalf. As part of this role, you'll have the opportunity to connect with individuals from various corners of the city and across the country, foster both internal and external relationships, and gain invaluable insight into the workings of city governance and its dedication to serving Boise's residents. This position works under general direction and is designated as At-Will. Essential Functions

Provides advanced administrative support to the mayor. Anticipates and resolves issues independently, demonstrating resourcefulness and problem-solving skills to address challenges proactively.

Manages the mayor’s calendar, requiring interaction with internal and external executives and assistants to schedule various business meetings. Creates daily and weekly agendas for the mayor and ensures all materials needed by the mayor daily are prepared and accessible.

Organizes, monitors, tracks, compiles, and prepares internal and external documents. Handles sensitive and confidential information with discretion, including drafting and prooing correspondence, reports, presentations, and other documents.

Serves as the primary point of contact for internal and external stakeholders, screening and prioritizing communications, including emails, phone calls, and correspondence.

Arranges travel itineraries, accommodations, and transportation ensuring efficiency and adherence to policies and regulations.

Assists in project management tasks, such as research, data analysis, and documentation to support executive decision-making and strategic initiatives.

RequirementsRequired Knowledge, Experience, And Training Bachelor’s degree and five years of experience providing administrative support at the executive level, or an equivalent combination of education and/or experience.Knowledge of:

principles and practices of executive-level administrative support

principles and practices of project management

and computer usage including related software.

Ability to:

demonstrate significant attention to detail

organize work effectively

prioritize and carry out multiple tasks at once with little or no direct supervision

exhibit initiative and problem-solving skills

communicate effectively in the English language at a level necessary for efficient job performance; and perform all essential functions as assigned by an authorized employee, supervisor and/or manager with or without reasonable accommodation.
