Description: Experience:Minimum requirements include knowledge and skills developed through 2-3 year of work experience in a related job discipline.Responsibilities:ERP Financials Implementation Project CoordinatorJob Summary:The Project Coordinator is responsible for supporting ERP project activities as a part of the project management office.This position will support the Program Management Office by monitoring and addressing daily issues, coordinating meetings and logistics, managing document flow (submissions and approvals), taking meeting minutes, participating in weekly status meetings, and supporting resource management with on-boarding and off-boarding, etc.The Project Coordinator executes day-to-day project operations independently in collaboration with project leadership including logistics for team and executive stakeholders, coordinating event logistics for significant project workshops/events, project reporting assistance such as assembling data for PM use or for project communication and supporting the program director and program manager with communications content and review. The candidate must demonstrate a proven background in scheduling meetings, event planning, and coordinating activities.The Project Coordinator will have the ability to work with moderate supervision to identify issues and prioritize among activities and follow through to resolve action items.This position will report to the Director of the Financial System Modernization program ResponsibilitiesIdentify and address day-to-day problems that arise from the project teamProduce reports, agendas, and minutes for project team meetingsIndependently manage project documentation including the deliverable approvalsIndependently manage document repositories • Independently manage logistics for meetings/events including scheduling, agendas, contentManage contractor billings and related approvals • Draft communications for the Project ManagerAssist the organizational change team with communications as neededMinimum QualificationsEducation:Minimum requirements include a college or university degree in related field.Experience: Minimum requirements include knowledge and skills developed through 2-3 year of work experience in a related job discipline.Certifications: NA or None - NonePreferred QualificationsEducationBachelor’s degree in a related field ExperienceTwo years’ experience providing coordinator servicesUse of Microsoft Excel, Word, PowerPoint and VizioPreferred CompetenciesAbility to work with Finance/Accounting professionalsExcellent written and oral communication skillsExcellent organizational skillsAbility to independently manage competing priorities, work simultaneously on multiple initiatives, and meet deadlinesStrong problem-solving skillsAbility to work with other units/stakeholders, including executives, to coordinate meetings and logisticsAbility to work in a team environment and to coordinate with colleagues and provide leadership in responding to users’ questions Working ConditionsStandard office environmentHybrid – mixed remote/on-siteAbility to sit for short or extended time periodsAbility to stand for short or extended time periodsAbility to extensively use computer Application Documents VIVA USA is an equal opportunity employer and is committed to maintaining a professional working environment that is free from discrimination and unlawful harassment.
