ResponsibilitiesØ Office Management including co-ordination of projects with outside contractors/vendors (AT&T install of T1 for example).Ø Contact vendor and order business cards for sales staff and other employees, submitting drafts for review.Ø Assist Paychex – HR engagementØ Manage AT&T Mobility account and phones.Ø Update employee personnel information in HRISØ Provide any Assistance required by the Corporate team & Project ManagersØ Answer phone, all incoming, outgoing mail, and packages daily by sorting, handing out, and opening as necessary.Ø Handle processing of vendor bills checks received from publishers deposit to Citibank for Aspire Systems Inc filing accordingly.Ø Process checks for dispatch from India for vendor payments and payroll – mail at local Post Office to ensure safe arrival.Ø Keep all freelancer and vendor paperwork filed and organized.Ø Mail packages via UPS, FedEx, or DHL, and via water, as necessary.Ø Manage all printers and copiers vendors, order supplies.Ø Inventory and order office supplies through HR Manager and/or purchase office supplies from store as often as needed keeping costs to a minimum.Ø Keep employees informed with email notifications about office closures, office building information, who’s out sick, and visitor alerts.Ø Coordinate Oakbrook office events/parties and luncheons with HR managerØ Manage front office co-ordination , Administrative co-ordination (Building, utilities and vendor management)
