The Administrative Assistant will be responsible for providing support to several members of the NIC Division Leadership team. Day to day, this position will be relied upon for scheduling & calendar management, making travel arrangements, and completing projects that require the ability to work accurately under deadlines. This position is privileged to a great deal of sensitive company information and is relied upon to keep this knowledge confidential.
Duties:- Provide assistance with scheduling of time for the NIC Division leaders as requested.
- Provide travel arrangements, including the creation of travel itineraries for professional trips. May at times be needed for after-hours travel support (re-booking/cancellations, alternate arrangements etc.).
- Coordinate logistics of business meetings including meeting space, catering and transportation
- Prepares and conducts confidential reports, correspondence, and other information in preparation for Leadership meetings or as requested
- Prepares expense reports and tracks expense reimbursements
- Provides administrative support for other Division Leadership as needed
- Manage the Corporate cell phone plans
- Back up to the Receptionist on an as needed basis
- Performs other administrative duties as assigned
- Undergraduate degree preferred
- 3-5 years of administrative support experience
- Ability to perform under pressure, and handle multiple competing priorities with a calm disposition
- Proactively seeks out opportunities to anticipate the needs
- Must be a team-player that as a part of the administrative team, identifies and addresses needs of a busy office as they arise
- Maintains the highest levels of confidentiality, professionalism, and tact
- Ability to work autonomously and collaboratively in a dynamic fast-paced environment
- Strong attention to detail, and ability to catch things that others would miss
- Excellent written and verbal communication skills, organizational skills and customer service skills.
- Understanding of corporate culture and etiquette
- Detailed event planning experience
- Available after hours and on weekends/holidays as issues arise
- Dependable, punctual and able to respond well to direction
- Microsoft Office Suite expertise required
- Ability to work in the office
