Job Description

The Recruiting Coordinator is responsible for assisting in the company’s recruiting and talent acquisitions strategies to meet company’s needs and goals. This role will handle the back-end processes for the recruiting team. Additionally, creating and building internal client relationships while upholding Company Missions and Values will be critical to success.

Essential Functions Include:

  • Maintain ATS system and flow of candidates.
  • Post job requisitions, review applications and process job offers as requested by Recruiters.
  • Manage job requisitions on all platforms (SmartRecruiters, LinkedIn, indeed, etc.).
  • Schedule candidate interviews utilizing ATS, Outlook and Microsoft Teams, coordinating with Hiring Managers in various time zones globally.
  • Report and analyze talent acquisition statistics.
  • Collaborate with recruiting team on all steps in the recruiting cycle.
  • Maintains records on recruiting activities as required.
  • Notate all candidate correspondence in the ATS and tactfully communicate with all applicants not hired or determined unqualified for employment.
  • Ensure the recruiting/hiring process for both contract and regular hires is structured, efficient, and fits within the guidelines of the company’s Standard Operating Procedures (SOPs).
  • Plan, coordinate and attend career fairs and recruiting events when needed.
  • Provide administrative and office support to multiple Recruiters in a fast-paced, high-performing, professional environment.
  • Conduct background and credential investigations.
  • Build and maintain effective working relationships with peers, managers, candidates and customers.
  • Work with candidates to ensure they feel informed and supported through the entire recruiting process.
  • Manage the Employee Referral Program, including tracking all referrals, reaching out to candidates, following up with employees, and communicating bonuses to HR/payroll.
  • Communicate directly with each Recruiter to support their talent.

Qualifications

Qualified candidates must have:

  • 1-3 years working in recruiting, human resources, administrative support, or related field.
  • Bachelor’s degree in Business, Human Resources, or related field.
  • Experience working with recruiting sites including LinkedIn and indeed.
  • Experience working in ATS system preferred or demonstrated ability to manage a recruiting pipeline (job descriptions, tracking systems, correspondence, etc.). Experience using SmartRecruiters or Workday a plus.
  • Energetic, highly motivated self-starter with outstanding organizational, writing, and communication skills who takes initiative to get things done.
  • Ability to communicate effectively with people at all levels of the organization.
  • Ability to work well independently and as part of a team.
  • Ability to develop and maintain collaborative working relationships within and across groups work towards solutions that benefit all involved parties
  • Strong customer service orientation, with focus on continuous improvement.
  • Strong time management, with ability to establish priorities and maximize timely and quality output.
  • Strong administrative skills and task orientation, with strong sense of urgency.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong computer skills with ability to quickly learn and adapt to new technology.
  • Ability to organize and adapt to evolving priorities while maintaining a high attention to detail.
  • Ethical and objective while exercising independent judgment and initiative.
  • Quick-thinking and always striving to improve processes to best support the recruiting team so that we can provide an exceptional candidate experience.
  • Ability to demonstrate appropriate professionalism and emotional intelligence.
