Organize and develop the operating plan for each day/night based on available staffing.

Establish specific ramp assignments for each Crew Van Driver and ensure operational coverage on each ramp.

Delegates and dispatches the duties and responsibilities of all Crew Van Drivers during the everchanging operation as needed.

This position performs general administrative responsibilities including preparation of reports using various software packages, compilation of information from various sources, and handling small scale projects.

He/She performs general office duties including word processing, data entry, auditing documents, answering phones, coordinating meetings, and other duties as assigned.

This position deals with confidential material on a regular basis.

Provides advanced office support knowledge and skills while communicating with other departments.

Coordinator stays in constant contact with their manager for operational support and problem solving.

Coordinator has broad authority in handling customer complaints, employee relations issues and operational problem-solving resolution.

Monitor and hold accountable Crew Van Driver responsibilities and work activity via 2-way radio, face to face conversations and Crew Van Visibility (CVV) monitoring.

Utilize various UPS computer systems (as well as utilizing extra departmental resources such as Ramp Control Center (RCC), Crew Scheduling, Flight Control, Assistant Chief Pilots, Flight Administration, etc.) to effectively coordinate the Inbound/Outbound operation. These systems include aircraft monitoring systems, Jumpseats, Airhub,, iGATE (for training), RCC Tail Sheet Generator, Netline, OpsLink and the CVV (Crew Van Visibility) program.

Coordinators are the critical communication link with several UPS departments and other vendors for aircraft tail swaps, ramp transfers, hot launches additional flights and extra sections. Their communication will determine the success of the UPS crew transportation and catering during these events.

Monitor and troubleshoot the CVV program as needed and work with the UPS Technology Team/Application Developers to resolve technical issues that may occur with the CVV system. This includes input on UI design and updates, as well as keeping the iPad OS and CVV program updated when necessary and under the direction of the system programmers.

In addition to these UPS specific applications, the coordinator must also have a strong working knowledge of Microsoft Word, Excel, Outlook, and Access in order to aid in our day-to-day operation. Access, specifically, has been utilized, modified, and coded to meet our specific needs in the crew van operation in order to store all employee data, efficiently track all required training, as well as a calendar database that has also been created and modified to suit our specific needs for tracking and scheduling employee’s vacation and off days, as well as other miscellaneous days (such as bereavement, disability, etc.).

Coordinator creates the Inbound Tail Sheet – it incorporates the Edgewood Parking Lot assignments, airport terminal run assignment, driver breaks, as well as a daily safety tip.

Coordinator creates the Outbound Tail Sheet–dispatches the Crew Van Driver from the UPS Air Service Center (ASC) backdoor and monitors operational departures via CVV and other systems. When needed, Coordinators will physically monitor the backdoor and advise crews which vans to board to ensure accurate and prompt service to the aircraft. Their job is to maximize efficiency and van flow to and from the ASC backdoor.

Coordinators must monitor available meals and meet specific time deadlines on catering reports given to other departments/vendors during the operation to ensure catering requirements are met to eliminate delays.

Pre-Trips/Post-Trips –Coordinator tracks and files pre-trips and post-trips daily, including logging Edgewood shuttle mileage into a database. These sheets are audited along with the vehicle sign-out log to ensure the drivers are filling out all required paperwork.

Once cold weather is imminent, the Coordinators make all appropriate preparations to see that crew vans are properly equipped. These preparations include making sure all crew vans have scrapers, deicer, etc. Coordinators also prepares the ASC backdoor area with ice-melt to ensure a safe work environment the Crew Van Drivers and their passengers.

Catering – the Coordinators communicate and coordinate with the catering coordinators (and directly with Eurest Dining (Catering vendor) and Air-To-Ground (Catering Delivery vendor) to ensure the catering requirements for all qualifying flights are met.

Flight Releases – Coordinators work in tandem with Flight Control Support for the transportation of Flight Releases to and from the aircraft. Any paperwork that was signed and returned to the driver by the crew is then dropped off at Flight Control Support.

The Coordinators are also charged with maintaining the crew van radio system, and monitoring it for any equipment malfunctions/defects, and in the event of equipment failure, filling out the paperwork and turning in a defective radio to the hub radio room for repair.

Training –the Coordinators utilize both the UPS iGate system as well as UPS University to run the drivers through a series of training modules as part of both new and recurrent training. These modules cover not only ramp driving, but also go over security, safety, and records management. When their computer training has been completed, the driver is then taken on the ramps for a real-world series of questions and observations which is (upon successful completion) signed off on and put in their training file, along with a copy of their driver’s license and any other relevant information.

Vehicle Maintenance oversite. Ground Support Equipment (GSE) communication. The Coordinators keep in constant contact with Ground Support Equipment Department to ensure all vans and shuttles are being repaired and maintained, and they document any vans currently down for service in the Crew Vans Equipment Condition report (ECR).

At the end of day, the Coordinator emails out the morning reports, which is our turnover to our management and counterparts on detailing relevant information about our day/night, including van driver count, drivers out that day, vans out of service, and any other information that needs to be passed along.

Safety Focus – Safety awareness is a large part of our ongoing initiative to create and maintain a safe environment for our drivers and crew members. In addition to reinforcing this on a daily basis, and as part of their recurrent training, the Coordinator also includes safety tips and constant safety training. They also hold safety meetings throughout the year to cover certain safety aspects that need to be reinforced, any new areas of safety awareness we feel needs to be addressed. They also create safety awareness through different initiatives, safety contests and activities.

Coordinators are teachers of our Defensive Driving Techniques (The 5 Seeing Habits). They are critical instructors for the Crew Van Drivers in handling the adverse type driving around aircraft and on the ramp. They are also the experts in training the many ramp safety rules (Traffic Patterns, Jet Blast, Safety Perimeter Guidelines, Marshalling Signals, etc.)

Inventory – In order to keep Flight Crew Services stocked with the necessary day to day supplies, we also do our own in-house inventory and resupply.

In addition to these day-to-day responsibilities, all Coordinators listen, respond (and adapt if necessary) to both driver concerns (which encompass a wide array of personalities), as well as an ever-changing environment. The Coordinators are problem solvers. With a large driver group to maintain, we make use of strong analytical, decision making, and problem-solving skills, and use good judgment in a fluid environment of time sensitive arrivals and departures. This includes maintaining a polite and professional attitude, even in times of high stress, and the ability to anticipate the needs of both the drivers and the crew members.

Ultimately, the Coordinator is responsible for each Crew Van Driver associated to their shift. These duties include performance, corrective action, disciplinary actions, communication, training, and all other areas of their jobs.

The Coordinator position reports to the Account Manager (Pilot Shuttle Manager) who has oversite of the operation.
