Job Summary: We are seeking a highly organized and detail-oriented Clerical Specialist & Customer Service Representative to join our team. This role involves performing a variety of administrative and customer service tasks, including data entry, managing customer inquiries, and providing exceptional service to ensure customer satisfaction.
Key Responsibilities:
1. Data Entry:
- Accurately input and update laboratory information, transactions, and other relevant data into the company’s database or CRM system.
- Verify the accuracy of data entries and make necessary corrections.
- Maintain and organize physical and electronic files and records.
2. Customer Service:
Respond to lab inquiries via phone, email, or chat in a timely and professional manner.
- Address and resolve lab accounting issues, escalating to higher management if necessary.
3. Administrative Support:
- Prepare and process documents, reports, and correspondence as required.
- Assist with office tasks such as sorting mail, filing, and organizing office supplies.
4. Quality Assurance:
- Review data for errors or inconsistencies and correct as needed.
- Ensure compliance with company policies, procedures, and confidentiality agreements.
5. Communication:
- Collaborate with other departments to resolve customer issues and enhance service delivery.
- Provide feedback on customer interactions to help improve service processes.
Qualifications:
High school diploma or equivalent; associate’s degree or relevant certification preferred.
Proven experience in data entry, administrative support, or customer service roles.
Strong attention to detail and accuracy in data entry and documentation.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM systems.
Ability to multitask, prioritize tasks, and work independently with minimal supervision.
Strong problem-solving skills and a customer-focused attitude.
Work Environment:
This position is performed in an office setting at the Maine CDC Laboratory
Hours are flexible between 30-40 hours per week
