ASRC Federal Data Networks is seeking an

AV Event Organizer to support events across the National Cancer Institute's (NCI) Rockville, MD and Bethesda, MD locations, as well as hybrid and remote events.

Job Summary: This role is to manage and facilitate multi-day, multi-region complex events at the National Cancer Institute. The responsibilities include gathering client requirements and meeting deadlines, coordinating testing/dry runs of events, organizing agendas with the event POCs, and recording lessons learned for continuous improvement. Excellent time management skills is a must to execute event sessions and meetings in a timely manner.

To be successful, the candidate must have great attention to detail, experience with NCI and/or NIH organizational meetings and events, and be familiar with VIP series such as FNLAC, NCAB, BSA, CTAC, Cancer Moonshot, CCR Grand Rounds, townhalls, and iScore. Having knowledge about audio and video equipment and platforms used at the NCI is highly desired.

Responsibilities:
  • Communicating with clients and coordinating with other staff members to ensure deadlines are met and projects are completed to specifications.
  • Setting up meeting platform and associated equipment safely and on time as needed.
  • Testing and troubleshooting equipment regularly and replacing any faulty components.
  • Fixing and enhancing issues at NCI events.
  • Participating in training opportunities and constantly finding new ways to improve skills.
  • Develops and submits monthly status report (MSR) input
  • Fosters environment for innovation and success on team
  • Responsible and accountable for event performance with user community,
  • Manages event schedules and timelines
  • Communicates program, company and customer information to team
  • Develops Standard operating procedures and Work Instructions and ensure Event efforts are repeatable
  • Identifies areas of improvement in process, people or technology and presents implementation plan to management
  • Provides technical guidance and support for team in alignment with the AV Project Manager
  • Coordinates daily with Federal staff on issues, tasks and status of highly visible NCI conferences and events
  • Responsible for coordinating live captions, and sign language interpreting through NCI/NIH channels
  • Other duties could include assisting AV install with clerical duties

Responsibilities

Requirements:
  • Proficient using ticketing system (prefer ServiceNow)
  • Proficient using Webex, Zoom VTC, and Microsoft Teams platforms
  • Proven ability to troubleshoot and resolve A/V issues
  • Experience working with the NIH TOC and/or Section 508 Interpreting Services
  • Proven ability to meet and/or exceed Service Level Agreements
  • Ability to work within core hours of Mon-Fri 7AM-6PM
  • Strong customer service and end user equipment support skills
  • Strong written and oral communications required.

Education/Experience:
  • Bachelor's Degree or equivalent combination of education and years of technical support experience in audio/visual technologies or 5+ years of equivalent experience supporting government events
  • Desired: Certificate in Certified Meeting Professional (CMP) and/or Certified Government Meeting Professional (CGMP) will be required within 12 months of accepting the position
