Full-Time Dental Receptionist

Position Overview

Our dental practice is seeking an exceptional Front Desk Receptionist to be the welcoming face of our office. This role is essential to creating the calm, comfortable patient experience that defines our practice. You’ll ensure every patient feels cared for from the moment they contact us through check-out.

Key Responsibilities

Exceptional Customer Service

Warmly greet patients and create a positive first impression.

Provide outstanding, patient-centered service in person, by phone, and via email.

Address questions and concerns with empathy and professionalism.

Maintain a serene, comfortable reception and waiting area.

Administrative Operations

Schedule and manage appointments, confirmations, recare/recall, and follow-ups to optimize provider time and patient flow.

Perform insurance verification (eligibility, benefits, frequencies, waiting periods, downgrades), obtain pre-authorizations, and document details accurately.

Present treatment plans at a high level and route clinical/financial questions appropriately.

Process payments; handle billing inquiries and account reconciliation.

Manage new patient intake and maintain accurate, up-to-date patient records (HIPAA compliant).

Answer phones professionally and efficiently; route messages and tasks to the right team member.

Support day-to-day operations and assist clinical staff as needed.

Office Management

Keep reception and waiting areas tidy, organized, and welcoming.

Manage check-in and check-out, collect co-pays, and schedule next steps.

Handle administrative tasks including filing, correspondence, supply tracking, and mail.

Required Qualifications

Minimum 2 years of recent dental front-desk/reception experience in a general or specialty practice.

Proficiency with insurance verification and scheduling (eligibility checks, benefits breakdowns, pre-auths, coordination of benefits).

Strong customer service and communication skills with a calm, professional demeanor.

Excellent organization and attention to detail; ability to multitask in a steady-paced environment.

Computer proficiency and ability to learn dental practice software (e.g.).

Discretion in handling confidential patient information (HIPAA).

Preferred Qualifications

Experience presenting treatment plans and discussing financial arrangements at a basic level.

Familiarity with PPO/HMO/fee-for-service models, downgrades, and common CDT codes.

Bilingual/multilingual a plus.
