The Microsoft Workplan Administrator works within the ePMO to ensure that FEI’s internal and external projects are delivering scheduled work on time, within budget, and with great customer satisfaction by monitoring and reporting on cost, schedule, and performance of multiple projects. The successful Workplan administrator will use tools like Microsoft Office and daily interactions with subject matter experts, customers, and other project analysts. The most successful person in this role will exceptional communication skills to drive successful delivery.

Responsibilities:
  • The enterprise Project Management Office (ePMO) Project Work Plan Administrator works with Project Managers to schedule and coordinate resources among multiple large, complex projects.
  • Work on multiple projects from conception through completion with a granular focus on schedule and project performance to include coordination of resources (internal, vendors, etc.).
  • Support Project Managers to successfully manage the relationship with the client and all stakeholders.
  • Develop and integrate project schedules for proposals and internal and external projects.
  • Update complex project plans.
  • Coordinate input from project managers and team members.
  • Coach project analysts, project managers, and clients in schedule management best practices.
  • Monitor project schedules and escalate major issues.
  • Maintain project schedules.
  • Create management reports on single and integrated schedules.
  • Use Earned Value Management practices as measures for success or to identify risk in projects.
  • Communicate workplan updates and status and make recommendations for improvement to program leadership.
  • Analyze request for proposals, scope of work, work orders, and change requests to determine requirements, populate the schedule and compliance matrices, and validate due dates.
  • Track requirements from inception through approval, coordinating changes requested by the customer, tracking statuses, and following up as appropriate.
  • Recommend and implement best practices between Microsoft Project Online, Microsoft Azure DevOps, and Microsoft SharePoint Online
  • Ensure consistent delivery of the FEI project deliverables, including, but not limited to:
    • Deliverable Management, Tracking and Reporting
    • Schedule Management, Tracking and Reporting
    • Project and Portfolio Reporting (Status, Financial, etc.)
    • Meeting Management, Tracking and Reporting (including meeting minutes)
    • Performance Measures Management, Tracking and Reporting
    • Business Process Development and Documentation
    • Change Control Management, Tracking and Reporting
    • Project Risk/Issue management, Tracking and Reporting
    • Audit management, Tracking and Reporting
    • Contract compliance, Tracking and Reporting

Qualifications:
  • A Bachelor’s degree; 4 years of related work experience in lieu of degree.
  • A minimum of 3 years of program or project analyst experience.
  • Project management certification and/or Agile certifications are preferred.
  • Experience working with project management tools and collaboration systems such as Microsoft Project, Microsoft Azure DevOps, SharePoint, and Microsoft Office Suite of products.
  • Excellent communication and presentation skills.
  • Ability to work in a fast-paced environment while meeting competing deadlines.
  • Strong attention to detail.
