Title: Administration Manager - II - Facility Management Location: Cambridge, Massachusetts (ONSITE) Duration: 24 months Payrate: 36.00/HR on W2. Basic Responsibilities The Cambridge Campus Manager role will shape and implement campus business and cultural strategy. Including the support of campus strategic governance, campus culture, campus growth and communication. The Site Manager will report directly to the Cambridge Campus Leader and collaborate with other key stakeholders inside and outside of the Cambridge site. Perform project management tasks in support of developing established guidelines/charters and practices that will benefit all members of the campus. Track deliverables, due dates and ensure follow-up as needed on projects and assignments. Meeting Coordination: Partner with the Campus leader in the management of Cambridge Campus Governance meetings, cross-functional and external visitor logistics, and campus engagement activities Procurement: Assist with preparation of budgets, agreements, contracts for facility. Perform office manager responsibilities, as required, including: Partner with Facilities Management, Renovation Project Managers, IT, Finance, EHS&S and Corporate Security to ensure office is safe and compliant with J&J corporate standards. Serve as point person for maintenance and security issues. Promotes continuous improvement, identifies gaps, creates guidelines, designs and implements special projects. In Partnership with EHS&S Partner with external stakeholders to ensure office is safe and compliant with local and company-wide protocols. In partnership with Facilities Management Maintain office order, efficiency and appearance by planning and implementing office systems, procuring equipment and establishing office layouts. Support Business Planning & Continuity Develop and implement office procedures and standards to ensure efficient and orderly business operations Serve as a liaison between senior management and administrative personnel to ensure both leaders and administrative staff are receiving the support/resources needed for the office to operate effectively. Organize the planning and execution of Cambridge office events including promotion of activities. Monitor conference room reservations to ensure seamless meeting transitions. Qualifications: A minimum Associate's degree or higher and/or CPS is preferred. Position requires a minimum of 7 years of experience site project management and/or coordination. Experience providing support to senior-level leaders (such as directors, vice presidents, executives). Ability to be physically on-campus at least 3 days per workweek. Project Management skills required. Experience in Pharmaceutical industry or laboratory facilities management desirable, but not required. Proficiency in Microsoft Office programs (Outlook, OneDrive, Word, Excel and PowerPoint) is required. Strong organizational and time management skills, excellent attention to detail and the proven ability to prioritize work against critical deadlines in a dynamic, fast-paced, multicultural, global environment is required. Must be a self-starter with strong interpersonal skills and ability to work independently in the absence of supervisors. Demonstrate flexibility and the ability to independently handle and respond to multiple priorities and shifting demands while maintaining the sense of urgency and intensity that the office requires. Build and maintain effective relationships and trusted partnerships with internal and external partners. Develop in-depth knowledge of department objectives, policies and procedures.
