Description We are offering an opportunity for an Assistant Office Manager to join our team in Boston, Massachusetts. In this role, you will play a vital part in maintaining an efficient and friendly office environment, handling a range of administrative tasks including call management, guest reception, and office upkeep. This position is within the industry and operates on a contract to hire basis.Responsibilities: Manage all incoming calls, ensuring prompt response and appropriate direction. Greet and assist visitors in a professional manner. Oversee the opening of visitor and common areas, including turning on lights, organizing kitchens and conference rooms. Handle visitor and office maintenance requests through the building's online system, following through with the resolution of these requests. Track and order general office supplies and equipment. Serve as the point of contact for office vendors. Sort and distribute office mail, faxes, and handle packages. Maintain a clean and organized appearance in the main common areas such as the lobby, kitchen, supply room, and conference rooms. Support office manager and Executive Assistants in event planning and board meetings. Handle certain administrative and overflow support assignments as needed and approved by Office Manager. Utilize strong computer skills, particularly in the Microsoft Office Suite, to accomplish tasks and respond to internal and external customer needs. Requirements Proficiency in Microsoft Office Suites and Oracle Demonstrated ability in customer service Experience with office functions such as managing inbound and outbound calls Ability to provide workstation support Experience in liaising with vendors Knowledge of expense reporting Strong communication skills Familiarity with C-Suite Skill in prioritization and managing multiple tasks Experience in distributing faxes Proficiency in event planning Solid computer skills Understanding of timelines and time frames Good phone etiquette Experience dealing with external customers Punctuality is a must Experience handling service calls Ability to manage visitor reception and conference rooms Courteous manner in dealing with all stakeholders Experience in handling maintenance requests Strong organizational skills.
