Job Description
This high-profile role serves as a face to the department requiring excellent customer service skills. Primary responsibilities include the setup, configuration, maintenance, monitoring and scheduling assistance of all audio and video conferences, presentation meetings and associated hardware. This includes working closely with Conference Services on the coordination of audio and video conferences and meetings with the internal user community, clients, and Information Technology staff. Additional functions include setting up necessary equipment for presentations, webinars, depositions, hearings, video recording, filming, editing, and media production. This position reports into the IT Manager - Support.Responsibilities:Maintain and manage the video conferencing infrastructure including hardware, software, and resource allocation.Maintain video conference schedule utilizing EMS Legal room reservation and scheduling software solution.Launch and monitor video conferences while coordinating with on-site staff to ensure successful meetings.Collaborate with local Information Technology staff on all AV and meeting needs including, but not limited to depositions, hearings, in-house trials and special events.Troubleshoot issues as they relate to video conferencing and coordinate with vendors for problem resolution.Coordinate and collaborate with the Conference Services group for all meeting related requests and requirements.Train on-site Information Technology staff to support video conferencing setups, end point configurations, and hardware troubleshooting.Develop and maintain documentation of the audio and video conferencing environment including operational guidelines, processes, procedures, and quality assurance checklists.Perform in-room conference room setups as needed involving LCD projectors, monitors, and screens for meetings, presentations, and webinars.Meet with meeting host/organizer prior to meeting start time to ensure all needs have been met and be present to ensure the meeting starts successfully.Video filming, editing, and media production. Monitor internal ticketing queue for related hardware and audio-visual issues and requests.Occasional early morning, evening and weekend support may be required as client and/or firm needs arise.Research new video conferencing technologies for testing and implementation.Qualifications:Bachelor's degree preferred. 3+ years direct experience with Cisco video conferencing systems and audio-visual concepts.Understanding of H323, SIP, and other related protocols. Basic PC troubleshooting and support.Understanding of IP and ISDN network fundamentals.Experience with video conference systems including bridges, gateways, gatekeepers, MCUs and end points. Experience with online collaboration products including Webex, MS Teams and Zoom is a plus.Experience with CMS/CMM is a plus.Experience with Webex for audio and collaboration solutions.Experience with EMS Legal or similar room/resource reservation and scheduling tool.Possess excellent written and verbal communication skills.Strong organizational, administrative, and time management skills.Excellent attention to detail and ability to execute through to completion.Creative problem-solving skills, reasoning ability, and logical thought process.Ability to work under pressure, prioritize competing demands, and meet various deadlines.Demonstrated ability to professionally interact and collaborate with colleagues at all levels.Ability to work independently and as part of a team.Outstanding sense of customer service.Enthusiastic, proactive, and positive attitude.Ability to quickly troubleshoot in the field and over the phone to conduct diagnostics and perform troubleshooting.Must be self-motivated to produce quality work. High level of integrity and honesty.Excellent computer skills, including proficiency in using Microsoft Word, Outlook, Excel and PowerPoint.
