Contracts Lifecycle Management (CLM) Systems Administrator - Dedicated Resource: Our organization is on a journey to transform its Source to Pay Environment as we aim to incorporate best practices into our existing contracts management platforms. This role will act as a primary Contracts Administrator on the Sourcing Support Services team for our Contracts Lifecycle Management (CLM) program. We aim to transform the way we purchase within our company. The focus of this role will be on managing the contracts management helpdesk, supporting contracts authoring activities, and developing timelines to drive deliverables in the cross-functional team. We will work collaboratively on initiatives that have the potential to impact our purchasing processes and the experience of our purchasing community.New Haven or Boston area preferred for initial onsite training purposes. Contracts Systems Administration - Day to Day Contracts Support (Icertis and Others)- Oversee operational user access requests and license management with extended support team; refresh the super user community mapping and align to organizational changes
- Training of new users, update user manuals and coordinate with super user community
- Contracts Helpdesk management and support oversight, oversee contract requests generated and respond to questions
- Bot program data transfer oversight and management (Smartsheet to Icertis integration - daily monitoring)
- Data entry and request creation, when bot has exceptions manually enter, coordinate fixes with bot team
- Electronic signature oversight and launch management for bot requests, system admin oversight for non-super user agreements
- Contract template collection, liaison with legal, manage templates in the system in partnership with owners
- Lookup contracts on behalf of stakeholders, respond to general inquiries regarding contracts statuses, existence of MSA's, location of agreements, etc
- Sourcing approver support, day to day oversight, backlog management and follow up on inquiries
- Failure/breakdown management and notification of end users in urgent situations
- User community oversight, maintenance of announcement lists, distribution lists
- User Acceptance Testing (UAT) support, the system administrator would be the one to carry out testing at direction of IT in partnership with Product Owner
- System notifications management, templates are managed in the system, some support from system dev and configuration team
- Clause and template library management, where templates exist, update language, ensure formatting and oversee additions
- Rules and conditions management, workflow management and oversight of changes through implementation
- Integrations Support - Docusign, AdobeSign transition, and Single Sign On
- Gather information on new contracts projects, support teams with requirements gathering and keeping work plans current
- Support project planning, review trackers and pull together artifacts as needed
- Support risk identification - collect, analyze and report as needed
- Publish meeting minutes, track action items and support close out of activities - help keep the work assets organized
- Run periodic meetings and support agenda planning, as needed
- Support the development of implementation plans for initiatives
- Support change management, coordinating between teams to help contracts teams adopt changes
- Stay active in implementations and upcoming changes to ensure that alignment is achieved across capability
- Support development of change management strategy and training program, if applicable
- Experience level: Experienced
