Position: Microsoft 365 User Success Specialist

Location: Malden, MA

Summary:The client is looking for a dedicated

Microsoft 365 (M365) User Success Specialist to champion the best use of M365 tools to improve day to day operations and productivity at client, DESE, EEC, DHE, and Children's Trust.
  • This individual will develop easy to read information and documentation for using key M365 tools, focusing first on Outlook, Teams, SharePoint, OneNote and OneDrive. The M365 User Success Specialist will also lead inter-agency and all staff communication about M365 to support staff across the EOE secretariat to optimize the use of the M365 products and services available through Commonwealth's GCC Microsoft license.
  • The client has created an M365 portal on an internal communication site that serves as a centralized repository for all resources pertaining to M365 tools, starting first with a focus on Teams, OneDrive, SharePoint, OneNote, and Outlook.
  • The M365 portal also serves as a repository of published resources, tips and tricks, videos, training opportunities and more.
  • The M365 User Success Specialist would manage the portal and support staff in optimizing the use of the portal and other available Microsoft resources to support their work.
  • The ideal candidate will be passionate about technical writing, training, and developing content on various M365 topics that ensures experienced and inexperienced users have positive learning experiences with these tools which will lead to the adoption of M365 tools across the Secretariat.

Responsibilities:
  • Plan and facilitate M365 communication efforts working with business and technical stakeholders.
  • Research, curate, and gather information, and produce well-written content such as help guides, tips and tricks, policy and guidelines, text- and video-based instructions, training modules, and news articles.
  • Create and publish announcements, news posts, and news digest.
  • Review and edit content and manage approval process before publishing.
  • Continuously maintain and update content to deliver current and accurate information.
  • Perform analysis of business process for each agency and employees and create targeted communication for those audiences based on their specific needs.
  • Provide guidance on best practices for successful communication.
  • Provide M365 Office hours as needed.
  • Provide one on one user sessions or group sessions with the users requiring assistance.
  • Seek and respond to customers' feedback.
  • Advocate for adoption of M365 tools across the secretariat.
  • Assist in creation of governance, compliance, data policy, records management, retention, standard operating procedures, etc.

Preferred Qualifications:
  • Proven record of excellent writing and communication skills demonstrated in an enterprise setting.
  • Experience and proficiency with Microsoft 365 collaboration ecosystem for Enterprise and other tools.
  • Prior experience of creating policy, governance, and standard operating procedures.
  • Flawless grasp of English language, including idioms and current trends in expressions.
  • Prior experience of creating and editing video-based tutorials.
  • Prior experience of end user training to a wide range of users
  • A bachelor's degree in a related field.
