Beit Ahavah the Reform Synagogue of Greater Northampton is seeking an Office Administrator with excellent administrative, office, organization and people skills for 20 - 25 hours a week to support and advance the mission and growth of our dynamic congregation in the Upper Valley. Beit Ahavah is an inclusive, creative, progressive Reform Jewish community based near downtown Florence, MA. We are part of an exciting building sharing space at the Bombyx Center for Arts & Equity in historic Florence Congregational Church.

The Office Administrator will work with a small professional and volunteer team including the Rabbi, Board, lay leaders and community partners to assist and manage the day-to-day administration tasks for the membership and programs. We seek someone who is highly organized, creative, with great communication and problem solving skills, loves to collaborate while bringing their own ideas and experience forth in a fun, mission-driven office environment.

Flexible daytime shifts can be accommodated, but must work at least 3-4 days per week consistently during business hours. There are occasional Jewish holiday or community events on evenings or weekends where the Office Administrator will be needed.

Primary Responsibilities:

● Day-to-day operation of the synagogue office, improving or creating efficient systems to maximize our potential; implementing procedures necessary for the smooth and efficient administrative functioning of the temple.

● Provide administrative support and collaboration with the Rabbi and Board leaders including President, Secretary and Treasurer.

● Ongoing facility coordination as part of a team, including calendaring and some events set up, coordinating with Rabbi, lay leaders, Bombyx staff and vendors.

● Updating the synagogue calendar, and ensuring that calendaring functions run smoothly.

● Work with volunteers and Membership Committee to implement strategies to maintain, expand and engage the number of members.

● Work with Board leadership and Rabbi to maintain an accurate database and contact lists for members and outreach.

● Serve as welcoming contact with potential members and seekers, and as office point of contact for existing member concerns and projects.

● Coordinate publicity, working with Rabbi, lay leaders and staff to communicate, promote and publicize programs, initiatives, and activities.

● Generate weekly and monthly Highlights e-publications and updates; manage website, utilize social media, and other community mailings.

● Create engaging promotional materials for events, programs, and religious services using Canva and other design platforms.

● Oversee and manage some special events to ensure smooth operations.

● Coordinate some hands-on set up and clean up of services and events, direct set up or oversee set-up staff or volunteers.

Qualifications:

● Ability to work supportively in a team with a variety of volunteers with patience and respect.

● Strong time management skills, including the ability to multitask, prioritize work activities, work independently, and update supervisors or project coordinators.

● Excellent written and verbal communication skills.

● Flexibility and ability to adapt to changes in the work environment.

● Proven personal integrity, dependability and ability to maintain confidentiality.

● A passion for PR and experience and proficiency or comparable experience working in Zoom, Google Suite, Microsoft Office, Mailchimp, Jotform, Canva and Quickbooks.

● Experience with Wordpress for website or similar platform.

● Knowledge of Jewish life and culture or a dedicated willingness to learn.

● Ability to lift or transport up to 25 pounds (organization of books and supplies).

Preferred experience:

● Strong office management, writing and proofreading skills.

●Jewish communal work experience or comparable non-profit organization.

● Experience and compatibility with progressive Judaism or willingness to learn.

● Experience in event support and team work.

● Experience working with and coordinating volunteers.

Job Type: Part-time

Salary: $18 - $21 per hour

Hours: 20 - 25 per week
