Purchasing Clerk

Our Purchasing Clerk performs purchasing and clerical duties including, but not limited to, typing, filing, and data entry. Processes purchase and usage orders. Picks up materials from vendors and delivers office supplies. Work requires familiarity with policies, practices and procedures of the institution, and some capabilities in basic accounting and business procedures.


  • High School Diploma or GED equivalent.

  • Two (2) years clerical experience with emphasis in a purchasing, accounting or bookkeeping capacity preferred.
  • Good written and verbal communication skills.
  • Experience in word processing and good knowledge of various software programs preferred.
  • Must be able to deal with people in a variety of changing situations.

  • None required.

  1. Assists with data entry and maintenance of computerized files.
  2. Receives purchase requisitions for processing. Prepares purchase orders when approved.
  3. Tracks and maintains purchasing order files as needed to support purchasing activities.
  4. Operates adding machine, calculator, copy machine, and other office machines.
  5. Operates a computer system.
  6. Performs routine accounting and bookkeeping clerical functions.
  7. Recognizes and compares numbers and codes on accounting documents.
  8. Verifies mathematical accuracy. Identifies discrepancies and bring them to the supervisor's attention.
  9. Responds to incoming telephone calls and takes messages in the absence of management.
  10. Provides assistance at other clerical posts as required.
  11. Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
  12. Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.
  13. Must be alert at all times; pay close attention to details.
  14. Must be able to work under stress on a regular or continuous basis.
  15. Perform other duties as assigned.
