Statement of DutiesThe Taxi to Health Program is a grant funded program that provides free taxi rides to eligible Somerville residents to get to food and routine medical appointments. Serving over 400 unique clients, this program fills gaps in existing public transit and transport services to overcome barriers to accessing healthy diets and other preventative health supports. The program is led by The Office of Food Access and Healthy Communities (OFAHC) within the City of Somerville’s Health and Human Services Department. The Program Assistant will support the Office Director and the Program Manager in the day-to-day work of the program, including liaising with clients and collecting and summarizing program data and records.Essential Functions:The essential functions or duties listed below are intended only as illustrations of the various type of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.Day-to-day program assistance and client relations:

Assist with onboarding clients into the program.

Prepare program materials to mail to clients.

Maintain client records in Excel and Google Sheets

Assist program manager in following up with and assisting clients as needed to ensure program is accessible to all.

Assist program manager in following up with and assisting clients as needed to ensure program use is in compliance with established protocols.

Assist in updating program materials, including flyers, client instructions, and Standard Operating Procedures.

Data management

Assist in manually cleaning program data for analysis, including but not limited to identifying and categorizing destinations, and hand-fixing data issues not fixed in software cleaning.

Communications:

Assist program manager with planning and implementing communications around the summary of the program.

Assist with crafting and sending relevant text communications about other transportation resources to help transition clients away from Taxi to Health should it not be funded beyond 2024

Minimum QualificationsEducation and Experience:High school diploma or equivalent required. One (1) or more years of experience in a customer service field; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.Knowledge, Abilities and Skill:Knowledge: Strong commitment to equity in all program aspects, and broader commitment to food and health justice; knowledge of Excel, data management, Microsoft Project, RStudio, and Outlook are preferred.Abilities: Ability to communicate effectively and professionally via phone and text. Demonstrates the ability to work as a team member and maintain project timelines; continuous effort to improve operations and work cooperatively and jointly to provide quality seamless customer service to the public at-large.Skills: This position requires strong organization and time management skills; excellent customer service skills. Bi-lingual or multilingual ability in Spanish, Portuguese, and/or Haitian-Creole is preferred but not required.Work EnvironmentThe work environment involves everyday discomforts typical of offices, with occasional exposure to outside elements. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant. Employee may be required to work beyond normal business hours in response to attend evening meetings or complete work assignments.Physical and Mental RequirementsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work effort principally involves sitting to perform work tasks, with intermittent periods of stooping, walking, and standing. Work requires some agility such as moving in or about construction sites or over rough terrain.
