Development CoordinatorApply NowJob SummaryThe Development Coordinator manages various projects and processes in support of the FCVC team. The development coordinator provides advanced, diversified, and confidential administrative support to the Director and the members of the FCVC team. The individual will have significant interaction with UM and Michigan Medicine leaders, high-profile individuals, major benefactors to the University of Michigan and distinguished friends of the University of Michigan.The Development Coordinator will work as a contributing member in a fast-paced, service-oriented environment. This role will work independently and proactively to relieve professional staff of administrative tasks. May arrange donor and prospect meetings, including tasks related to itineraries, location, refreshments, staffing, purchases, hosting reports, and assists with assignments related to development volunteer activity and others. Frequently communicates with donors and prospects as well as volunteers, faculty and administrators. Runs reports and accesses information from donor databases. The Development Coordinator will participate in team events. The Development Coordinator also will have significant interaction in FCVC (Department of Cardiac Surgery, Division of Cardiovascular Medicine and Section of Vascular Surgery) and leadership, high-profile individuals, and major benefactors.ResponsibilitiesProject Management - 60%This position will work very closely with the Director and members of FCVC program related to the following project-management responsibilities:

Collaborate closely with the Director and team members to lead new projects associated with the FCVC, including major activities such as events, including campaign events, milestone anniversary events, annual symposium, special/board meetings, etc.

Manage and support the efforts of various projects and tasks by creating and managing project plans, ensuring performance against project plans, and enabling reporting of progress within the FCVC team. Manage a tracking system to support these efforts ensuring successful execution.

Proactively lead increasing complex projects on a regular basis, with considerable independence.

Serve as a primary partner with Core Service teams to aid in project-based initiatives.

Coordinate with prospect development to drive pipeline activity.

Attend activations meetings and serve as a liaison between major gifts teams and events and annual programs teams.

Actively engage with community volunteers, third-party fundraisers, and memorial donor families.

Serve as the primary partner for budget development, working with the FCVC director, major gift officers, and partners in Administration and Finance.

Administrative Support Tasks - 40%

Generate reports and ad hoc queries from internal databases. Prepare reports and summarize information for presentations.

Act in an advisory capacity to the Director and FCVC team on organizational communications and process development.

Prepare necessary materials for donor visits and events, including tracking on any follow up or stewardship needed.

Manage and coordinate calendars and schedule complex meetings.

Prepare P-Card, travel and hosting documentation for reconciliation.

Represent development in handling inquiries of a highly sensitive and confidential nature.

Assist with planning and execution of visits, events and committee meetings including preparation of invitation lists, coordinating details with event planning staff, and making guest arrangements for campaign events and activities.

Provide reception coverage as needed.

Various other duties as assigned.

Required Qualifications

At least three years progressively responsible administrative support experience, preferably in a fundraising environment.

Ability to manage multiple priorities and meet challenging and changing deadlines.

Experience creating projects and processes, evaluating project progress and results and recommendsmajor changes in procedures.

Superb attention to detail.

Excellent skills in the use of the Microsoft Office Suite (Word, PowerPoint, Excel, Visio, etc.)

Experience in creating databases and generating reports from a variety of internal databases.

Must be a self-motivated, highly dependable independent worker with the ability to efficiently and effectively prioritize work and problem solve without direct supervision.

Excellent verbal, written and organizational skills.

Strong commitment to philanthropy at the UM Health System.

Discretion and the ability to interact with top-tier donors while maintaining a high level of confidentiality while interact-acting with donors, Michigan Medicine Leadership and staff.

Ability to work effectively with frequent interruptions.

Demonstrated ability to develop good working relationships with internal and external constituency groups and to work collaboratively with colleagues in a team environment.

Ability to work flexible hours with occasional weekend and evening work, as necessary.

Desired Qualifications

Bachelor's degree

Demonstrate comprehensive knowledge of the University of Michigan and the UM Health System organizational structure, culture, operations and procedures.

Familiarity with DART, Business Objects and Tableau and other development reporting systems.

Work LocationsThe onsite locations for this position include an office suite at the 777 Building and FCVC. Typical work schedule includes working 3 days on site, 2 days remote. This does require flexibility based on the work demands of projects/events.The location at 777 provides free, on-site parking for staff, including covered parking. A parking pass may be reserved and checked out when working at the FCVC site.This position may be eligible for flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.
