In addition, this position is responsible for the integrity of constituent records.The salary range for this position is $21.90-$29.65/hour.PRINCIPAL RESPONSIBILITIES AND RESULTSGift Processing: Review, code, and process gifts/pledges and accompanying documentation received.
Enter all gifts/pledges and non-gift transactions into database and update constituent information by adding or correcting missing or new information to records (i.e. changes in contact information, relationship status, ect.) on a daily basis.
Process online and credit card gift transactions (i.e. EFT, NetCommunity, crowdfunding, payroll ect.). Keep complete records of all transactions processed to be used for identifying and resolving discrepancies and ensuring amounts are recognized by the bank. Protect donors from misuse of electronic payment information.
Process corporate matching gifts by completing and submitting, in a timely manner, all corporate matching gift forms received from donors. Update employment information and matching gift company information.
Ac counts Payable: Ensure the Foundation Funds, Budget Items and Depository Account are correctly disbursed for funds.
Look up the authorized individuals on each account to ensure compliance.
Verify the expense request for compliance with the funds language and Foundation policy.
Check the available balance to verify if the request can be disbursed.
Code the request with the allowable code combination from the accounting system.
Add a new code combination if needed.
If the authorized person(s), amount and/or purpose are either incorrect or inappropriate, return and explain why it is being returned and request correct signer, more information or suggest a more appropriate fund.
Enter the batch into the accounting system.
Print AP report and give the report and documentation to Director of Finance to review.
Managing Biographical Change Requests: Process/complete biographical change requests, such as relationships, employment, solicitation codes, salutations, email, phone numbers, address, etc.
Process items sent from Advancement and Alumni staff.
Process return mail for address updates which are received from returns of direct mail solicitations, the magazine, acknowledgements, ect. Use Alumni Finder to find correct/current addresses
Reports:
Pulling reports on pledges and giving as needed for the Finance Department and other areas.
Other reporting, such as stewardship of gifts, which are typically done on a bi-weekly basis.
Generate pledge reminders : In accordance with Foundation policies and procedures, prepare and route pledge reports to Development Officers. Typically done on a monthly basis. Collaborate with the Director of Finance to charge off uncollectible pledges on a quarterly basis. Write-offs are prepared for export into the accounting system.Perform Other Duties as AssignedMinimum Qualifications
Working knowledge of database management for entry and the extraction of data plus a working knowledge of the integrated accounting software.
Mathematics skills sufficient to calculate, review and reconcile data and balance accounts.
Ability to design, interpret and explain workflow and operations; provide input on policies and procedures.
General knowledge of Windows-based spreadsheet, word processing, database programs and other office equipment.
Ability to learn primary elements of the constituent and accounting systems and develop computer skills to effectively perform the job.
Excellent verbal (in person and by phone) and written communication skills to interact with all constituents.
Ability to read and write a variety of materials in English.
Ability to maintain confidentiality.
Preferred Qualification
Undergraduate degree or equivalent in a related field of study.
Knowledge and skills using not-for-profit/donor management software such as Blackbaud Raiser’s Edge and/or Blackbaud Financial Edge.
Experience working in a public or private higher education environment.
Skill certifications, where appropriate.
