Description We are seeking an Office Assistant for our Financial Services team located in Minneapolis, Minnesota. In this role, you will be responsible for various administrative tasks to ensure smooth operations within the office. This includes managing customer interactions, handling mail, and maintaining office supplies. You'll also be tasked with preparing and managing shipments, as well as some small projects requiring proficiency in Excel.Responsibilities: Facilitate efficient phone communication starting at 8am, handling moderate traffic. Manage preparation and reception of FedEx shipments and courier bookings. Process and sort mail from the mailroom and distribute it accordingly. Maintain office and kitchen supplies to ensure a conducive work environment. Undertake small projects requiring the use of Microsoft Excel. Handle invoicing and document creation, including signage for the office. Assist with the setup of the office daily, including preparation of coffee and food orders. Provide superior customer service, processing customer applications, and maintaining accurate records. Utilize Microsoft Outlook and other basic office equipment effectively. Ensure the office is well-organized, demonstrating strong administrative skills. Requirements Proficiency in Microsoft Excel is required, as it's integral for tracking and managing financial data. Familiarity with Microsoft Outlook is needed for effective internal and external communication. Experience in an administrative office setting is necessary for understanding the dynamics and processes. Ability to operate basic office equipment, such as printers, photocopiers, and scanners, is required. Demonstrated basic office skills, including filing, typing, and data entry, are essential. Experience in entering invoices accurately and efficiently is crucial. Capability to manage office supplies, including ordering and inventory tracking, is necessary. Proficiency in mail processing, including sorting and distributing incoming mail, is required. Experience in handling mail packages, including receiving, signing, and dispatching, is necessary. Superior customer service skills are required to ensure a positive experience for all visitors and staff members.
