Description We are seeking a dedicated Receptionist for our team based in Minneapolis, Minnesota. This role offers a contract to hire employment opportunity. The Receptionist will be the first point of contact for all visitors and participants, handling incoming phone calls and routing them to the appropriate staff. In addition, the Receptionist will be responsible for maintaining and updating participant lists, scheduling appointments, and ensuring the smooth operation of our office.Responsibilities: Serve as the first point of contact for all incoming visitors and program participants, directing them to the appropriate staff member. Handle all incoming phone calls, screening them, taking messages, or forwarding to the relevant staff. Check program members' eligibility and document details in the electronic health record/moonwalk scheduler at each treatment event. Oversee the initial new patient process, including scanning and documenting in the electronic health record. Maintain and update participant lists, scheduling initial and follow-up appointments as needed. Manage daily logs for clinical needs, updating wait lists, closed cases, and testing data while ensuring privacy practices are maintained. Type reports, inter-office memoranda, labels, and other correspondence as needed. Maintain the calendar of events and coordinate appointments for all counseling staff members. Develop program flyers and ensure appropriate distribution. Organize and maintain program and member records – group registration, reminder letters, and reminder telephone calls. Operate computer programs, like Microsoft Word and Excel, to maintain records and generate reports. Perform other duties as assigned by the Director of the department.
