PURPOSE AND SCOPE:Support Spectra’s Customer needs, assuring supplies are properly ordered for internal and external clinics to meet customer’s required delivery dates. Provides subject matter expertise and is responsible for product information as well as support for the Materials Management team.PRINCIPAL DUTIES AND RESPONSIBILITIES:Under limited supervision, utilizes considerable judgement to analyze usage to support customer demand. Utilizes a computerized system to monitor current inventory levels and needs.

Performs special projects and completes special reports and studies related to sales orders.

Contacts patients and updates customer profiles to resolve shipment issues.

Performs all data entry for Sales Order activities in required systems.

Reviews orders for customer data accuracy, quantity and unit measures.

Verifies customer information is correct and up-to-date in required systems.

Contacts patients and updates customer profiles to resolve shipment issues.

Handles customers’ inquiries regarding sales orders and product availability.

Navigates Service Now proficiently to assure all tickets are addressed, documented and closed on the same day whenever possible.

Manages sales order imports from required systems to ensure order fulfillment.

Creates Service Now tickets required for order fulfillment for non-inventoried items.

Files necessary documents for customer follow-up inquiries.

Ensures the Supply Tracking System is updated with current product menu.

Maintains up-to-date product information on various ordering forms.

Establish a working relationship with all internal and external stakeholders.

Provides training, as appropriate, to new employees and ongoing training to current employees to ensure appropriate execution of duties and tasks.

Reviews and complies with the Code of Business Conduct and all applicable company policies and procedures, local, state and federal laws and regulations.

Adheres to the FMCNA Compliance Program, including following all regulatory and FMCNA policy requirements.

Assists with various projects as assigned by direct supervisor.

Other duties as assigned.

EDUCATION:High School Diploma required; Associate’s Degree desirable

EXPERIENCE AND REQUIRED SKILLS:1 – 2 years’ relevant experience

Excellent customer service, communication, organizational, documentation and interpersonal skills required.

Proficient in multitasking, technology and computerized systems.

Previous experience with order management systems preferred.

Strong problem-solving skills required.

Experience with Microsoft Office applications, particularly Excel, is preferred.
