This first-contact position provides student support services, assists the faculty in numerous administrative capacities, and is responsible for seamless coverage and back-up for the day-to-day tasks of the office. The person in this position will interact daily with the Department Heads, faculty, MSU staff, students, and the public, recquiring strong communication skills. This person is highly visible, people-oriented and must possess the skills to tactfully and diplomatically respond to a variety of clientele, both internal and external to the department.Primary duties and responsibilities include the following:

Serves as the undergraduate academic coordinator

Serves as department liaison between the Political Science/Sociology Departments and Shared Services Advising, and manages faculty advising assignments in accordance with registration schedules

Oversees implementation of semester course offerings by reserving classrooms, working with faculty on course logistics and coordinating final submissions of department course schedules

Creates weekly newsletters, designs advertisements for events, creates posters and invitations, and ensures implementation of the University’s brand guidelines

Serves as the department contact for prospective students and their parents, provides campus outreach and coordinates attendance at university events

Assists with management of the Political Science graduate program

Implements course catalog revisions

Organizes and submits all textbook requisitions

Organizes and maintains electronic student files

Required Qualifications – Experience, Education, Knowledge & Skills

Progressively responsible administrative work with an emphasis on customer service in a main office setting or an equivalent combination of relevant education and/or experience.

Demonstrated competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.

Demonstrated competence using personal computers and various software such as word processing, spreadsheets, database, presentation, email, video conferencing programs, and internet. Microsoft Office software preferred.

Demonstrated competence in effectively interpreting and communicating detailed information, procedures, and directions clearly and accurately, in person, by telephone, and through business correspondence to a wide variety of individuals both internal and external to the organization.

Preferred Qualifications – Experience, Education, Knowledge & Skills

Demonstrated excellent customer service skills for a diverse group of customers, i.e. internal and external customers, students, etc.

Experience with graphic and creative design.

Be able to learn MSU policies, procedures, and systems for student data tracking.

Be able to identify shortcomings within a process and implement changes to improve the quality of the product.

Demonstrate self-motivation and the ability to independently follow through on tasks and projects to completion and to work independently and effectively under minimum supervision.

Demonstrate the ability to work collaboratively and effectively for two departments and within four distinct curriculum programs.

Be able to become an expert in the curriculum of the departments.
