Position Purpose:The Associate Registrar is responsible for maintaining student academic records, reviewing and approving athletic eligibility reports, processing student schedule changes, maintaining federal and state reporting documents, implementing curriculum changes, and assisting with the development and publication of major college information documents. The Associate Registrar performs these functions independently and with professional discretion under supervision of the Registrar. These functions are vital to the successful operation of the College and for student recruitment, retention, and success.## Essential Job Functions:

Ensures the integrity, accuracy and security of all academic records of current and former students.

Interprets and enforces college, state, and federal academic policies and regulations.

Maintains confidentiality per the Family Educational Rights and Privacy Act (FERPA).

1. Coordinates with various departments to develop, publish, and maintain the integrity of major college information documents including but not limited to the academic calendar, course catalog, department webpage, and credit/non-credit course schedules.

2. Manages beginning, interim, and end-of-term attendance and grade processing.```{=html}```

1. Assists and directs students, navigators, and faculty with registration issues to include the processing of schedule changes, withdrawals, late registrations, program and grade changes.```{=html}```

1. Monitors and implements curriculum changes in Banner, DegreeWorks and the course catalog.

2. Administers updates to curriculum documentation and processes course substitutions.

3. Assists with the preparation and maintenance of office manuals for academic services functions.

4. Verifies graduation applications and certificate/degree final audits in preparation of awarding certificates and confering degrees.

5. Represents Registrars Office on commencement committee and prepares commencement publications, processes diplomas and certificates, and updates commencement information on campus webpage.

6. Verifies and certifies timely athletic eligibility reporting for NJCAA and NJCCAE.

7. Investigates and documents any and all FERPA violations throughout the College.

8. Provides DegreeWorks, program, schedule entry, and academic calendar training to new employees.

9. Prepares and reconciles enrollment and error reports and graduation data for the National Student Clearinghouse as well as internal error reports.

10. Manages the daily operations of the Registrars Office in the Registrars absence.

11. Assists co-workers with duties during peak periods.

12. Other duties as deemed necessary for the function of the College and the department.The preceding duties are examples of the essential types of work performed by positions within this job classification but are not all inclusive. Management reserves the right to add, modify, change or rescind work assignments as needed.## Required Qualifications:Education/Experience:

Bachelors degree in business, accounting, education or related field required; Masters degree in management, education or related field preferred

Two years of experience in registration, financial aid, or academic advising in a higher education environment

Skills:

Attention to detail combined with an emphasis on quality, strong computer skills/aptitude in Microsoft Office, Adobe Acrobat, Banner, Document Imaging, and DegreeWorks

Ability to keep and maintain accurate records, work independently with minimal supervision, meet and exceed productivity standards, maintain confidentiality and follow FERPA guidelines

A willingness to take on additional responsibility and work collaboratively

Physical Requirements:

Work involves sedentary to light work in an office setting.

There is f equent sitting, with walking, standing, and stooping occasionally required.

There is an occasional need to lift objects (up to 10 pounds) and perform other similar actions during the course of the workday.
