Description We are offering a contract to hire employment opportunity in the industry of non-profit organizations based in KANSAS CITY, Missouri. The role of an Executive Assistant is available, which involves comprehensive support to the Executive Director, the executive team, and board of directors. This role requires a multitude of skills including anticipation of needs, critical thinking, and the ability to manage multiple projects.Responsibilities: Assist with the management of the Executive Director's calendar, prioritizing tasks and managing scheduling conflicts. Track the Executive Director's commitments, goals, projects, tasks and deadlines. Provide comprehensive administrative support to the Executive Director, including document preparation, report creation, and correspondence drafting. Handle special projects as assigned by the Executive Director, ensuring they are completed efficiently and proactively. Facilitate smooth communication between the Executive Director, board members, internal staff, and external partners. Coordinate all scheduling and meeting logistics for board and committee meetings. Assist in preparing agendas and materials for board and committee meetings. Draft minutes to record board and committee meetings in a timely manner. Manage agency and admin calendars and shared folders. Facilitate communication with staff, ensuring they have access to updated information.Skills: Proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time. Experience with Calendar Management, Correspondence, C-Suite, and Documentation. Requirements Proficiency in using Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook Familiarity with Concur, CRM, and About Time software Proven experience in Calendar Management and handling Correspondence Ability to work effectively with C-Suite executives Strong skills in Documentation and record keeping Experience in providing administrative support at the executive level Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to maintain confidentiality and handle sensitive information Ability to multi-task and manage time effectively Proactive approach and problem-solving skills High degree of professionalism and interpersonal skills Willingness to continuously learn and adapt to new technologies and tools.
