Coordinator, Shoot Production

The Marketing Shoot Production team oversees the production of all video shoots for the Entertainment Marketing teams within NBCU Television & Streaming. The Coordinator, Shoot Production supports the shoot production team as well as a senior level executive in Creative & Production.ResponsibilitiesManage shoot calendar and vendor databaseDistribute weekly production status document on behalf of teamOperational and office support for team including larger special projectsDraft, prepare and proof correspondence, documents and presentationsWork with Operations, HR and Finance to facilitate onboarding and ongoing administration of freelance vendors and contractorsTrack, file and follow up on shoot and team invoices; assist with shoot budgets; and organize and submit department purchasing card expensesCoordinate IT and facilities services for teamCoordinate and schedule internal and external meetings across the teamManage meeting agendas and notesSupport administrative needs of the SVP of Marketing Production and VP, Shoot Production including managing calendars.Support producers on projects and assist in organization, completion & filing of paperworkBook and coordinate talent travel as requiredAssist in managing, maintaining, and tracking internal production equipment
