We were proudly named Best Company to Work For in 2020 and 2021 and Business of the Year in 2023.The PositionWe are seeking an Executive Assistant to directly support the Chief Business Development Officer and co-owner of Alene Candles. We are looking for someone who is a true professional partner for the CBDO and is able to support them fully in all schedule management, meeting organization, business development needs, research & special projects; in addition to managing a full roster of personal assistant and personal calendar management duties. This position will work closely with the CBDO while they are both in-office and remote; our CBDO spends a majority of his time working between several locations, including our New Hampshire headquarters. In addition to supporting the CBDO, this position will also have opportunities to own projects and take on other tasks based on individual experience and areas of expertise. The ability to work independently and have a fierce drive to take ownership for cross-functional project work is a must.The ideal candidate will be someone who has superior attention to detail, the ability to meet tight deadlines, exceptional organizational skills, can juggle multiple priorities, and shows demonstrated business acumen, and desire to learn and grow in a fast-paced company. Integrity, confidentiality, and professionalism are must haves. We are looking for someone who thrives when being a true partner to a C-Suite executive. Our ideal Executive Assistant is able think and plan ahead while understanding the big picture at all times. The LocationWe are located at 51 Scarborough Lane, Milford, NH. This role is a part-time role of 20-25 hours a week. You will be required to be onsite at least 1-2 days a week and may work remotely the rest of the time.Additional Job Details

Be aware of and oversee the on-going deliverables, decisions, analyses, etc. that the CBDO is responsible for every day. Work closely with the CBDO to ensure that projects and tasks are addressed and completed both on time and in the order necessary to support the business.

Oversee the professional calendar with a high degree of precision with planning and scheduling.

Learn travel preferences and preferred patterns for the CBDO, to the point of being able to "step into his shoes" for planning domestic and international travel.

Manage general auxiliary activities for CBDO, accurately and completely, enabling CBDO to maximize focus on and contribution to success of multiple operations and projects.

Be willing and able to manage internal and external facing meetings for the CBDO including agenda creation, minute taking, and follow up on deliverables from meetings.

Eagerly dive into and own delivery on varied projects as they materialize from time to time.

Provide administrative support to the CBDO’s direct reports as needed.

Create and edit documents, metrics, and presentations utilizing Word, Excel, PowerPoint for Administrative-level consumption. Use of Salesforce for contact management. Be committed to developing and extending soft skill abilities.

High school diploma or general education diploma (GED).

5-7 years of Executive Assistant experience; experience supporting C-suite is required.

Preferred Qualifications

Bachelor’s degree strongly preferred, but will consider combination of education and directly related experience.

Exceptional interpersonal skills that prove you can represent the needs and direction of the CBDO related to delegation, deliverables, and expectations; ability to communicate via email with clarity, confidence, and correct tone.

Strong organizational ability to support and manage a remote professional with a demanding travel schedule.

Strong organizational ability to support, manage, and mitigate scheduling conflicts for the CBDO’s personal agenda.

Maintain complete and unassailable confidentiality around company financials, HR matters, and administrative support.

High level of service instinct, while being able to constructively evaluate optimal allocation of time and company resources.

Strong organizational, project management, and problem-solving skills with impeccable multi-tasking ability.

Familiarity with various office technologies such as setting up virtual meetings, operating conference room presentation resources, and working with other software applications as required.

Be ready and able to confidentially reflect the “face of the CBDO.”

Communicate with a high degree of professionalism, following appropriate etiquette. Must have the ability to comfortably and fluidly interact and communicate with all levels of the organization and external stakeholders.

Strong work ethic and unquestionable integrity. Proven ability to manage and prioritize multiple tasks while hitting deadlines.
