Description We are seeking an Administrative Assistant to join our team in the Real Estate & Property industry. As an Administrative Assistant, you will be responsible for monitoring and updating home inventory records, processing home title requests, and maintaining effective communication with Community Managers and Accounting. This role offers a contract to permanent employment opportunity. Responsibilities: Handle the creation of inventory files for newly acquired homes Proactively track and update changes to home inventory Facilitate the payoff process for new inventory homes Convert inventory homes into sales or rentals as necessary Track and convert all rental homes within the community Receive, record, and securely store Home Titles Process and track home title requests across all communities Perform extensive data entry tasks Maintain regular email correspondence with Community Managers and Accounting Ensure proficiency in Excel and Google Sheets for efficient task completionRequirements Proven experience in the role of Administrative Assistance, particularly within the Real Estate & Property industry. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook. Excellent communication skills, both written and verbal, to professionally interact with clients and team members. Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously. Detail-oriented with a high level of accuracy in completing tasks. Ability to maintain confidentiality and handle sensitive information with discretion. Real estate industry knowledge and understanding of real estate terminology is highly desirable. Demonstrated ability to work independently as well as part of a team. Strong problem-solving abilities and initiative to improve administrative processes. High school diploma or equivalent required; additional qualifications in Office Administration will be a plus. Flexibility to adapt to changing business needs and deadlines. Excellent customer service skills to ensure client satisfaction.
