We are currently seeking a Business Operations Analyst. The ideal candidate will live in New Jersey, New York, or Pennsylvania and be able to work in the Fairfield office 1-3 days a week. WHAT YOU NEED TO KNOW The role has two functions, supporting retail store inventory management and operations, as well as, serving in an operational capacity on large training and event management and as a subject matter expert for enterprise systems. As a direct report to the Manager, Retail Store Operations, the role will ensure Red Cross Store physical product orders are legitimate by evaluating the orders for fraud. The role will also work to ensure physical product costs are in alignment across Red Cross related systems, such as Coupa, Salesforce Commerce Cloud/Demandware, and financial systems; ensure drop ship vendor invoices are reconciled and submitted for payment monthly; and be responsible to ensure orders are received in the system in a timely manner to receive applicable discounts within agreement terms. In addition, the position is responsible for working with Red Cross supply management to ensure all supplier agreements and vendor contracts are up to date. The role will understand all aspects of retail store operations and serve as back up to the inventory manager as needed. In addition, the role will work closely with the learning management and staffing functional positions to manage logistics for in person and virtual trainings and events, including securing contracts, locations, vendors, and group travel. The role works closely with the corporate travel office to ensure contracts are in place and meet compliance standards. It serves as the subject matter expert for all enterprise-wide systems that impact Training Services such as Coupa, Concur, P-card and T-card and administers or supports projects, programs, and/or processes applicable to the department(s). WHERE YOUR CAREER IS A FORCE GOOD (Key Responsibilities): Responsibilities: Retail Store Operations :

Evaluates all physical product orders for fraud within the CyberSource system.

Works to ensure that product attributes such as product description, retail pricing, unit of measure and cost of goods sold are consistent across all platforms including eCommerce site, Coupa and finance. Works with the manager, retail store operations and inventory management and senior product manager to resolve inconsistencies. Ensures finance team has the appropriate information.

Reconciles vendor invoices monthly and submits for payment within agreed upon terms.

Ensures vendor contracts and supplier agreements are current; works with enterprise supply management, product management, and the store operations team to update as needed.

Develops, analyses, and distributes daily reports.

Serves as a backup for manager, retail store operations and inventory management when necessary.

Administrative and Operational Management :

Provides high level administrative and operational support to the Human Assets and Policy Administration team, as well as system support and subject matter expertise for enterprise systems such as Concur, Coupa and the P-card/T-Card program to other departments within Training Services. Provides guidance and training; works with management to track users to ensure the need to access systems.

Manages logistics for Training Services large in person and virtual trainings and events including conferences and the annual president's club. Works with corporate travel office to help manage vendor contracts, ensuring compliance and individual and group travel. Secures In-kind mileage when available.

Works with supply management to ensure hotel and training site contracts are processed in accordance with Red Cross guidelines. Works with external vendors to secure food and other logistic needs. Manages NJ office to include tracking inventory, purchasing, catering, equipment maintenance and repair.

Administers projects involving operational issues and compiles results and findings for management review. Participates as a department representative on cross-functional project teams.

Standard Schedule: Monday- Friday Standard business hours. The salary range for this position is $68,472. -$91,296. Note that the American Red Cross sets salary ranges aligned to a specific geographic location in which the work is performed. The stated salary range in this posting is an average. The specific salary information will be shared at the time of phone screening based upon your location and qualifications. This job will be posted for a minimum of five business days and extended if the applicant pool needs to be expanded. WHAT YOU NEED TO SUCCEED:

Education: Bachelor's degree or related experience in project management, logistics, administration, and systems management.

Experience: Minimum 5 years of related experience or equivalent combination of education and related experience required.

Skills & Abilities:

Knowledge of applicable processes and standards required.

Strong understanding of Red Cross systems with the ability to execute on deliverables.

Intermediate computer skills; proficient with MS Office Suite, including Word, Excel, PowerPoint, Visio, and Outlook.

Excellent written and verbal skills.

Ability to plan, prioritize and organize work to maximize team performance and meet customer expectations.

Excellent organizational skills and ability to work with attention to detail.

Strong interpersonal skills and the ability to create and maintain collaborative working relationships within the organization and with external stakeholders.

Travel: Travel to training and meeting sites 30% of the time.

Essential Functions/Physical Requirements:

Depending on work assignment, may require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk and manipulate (lift, carry, move) light to medium weights of up to 20 pounds. Requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information. Overall mobility is essential. May include sitting for long periods of time, driving a vehicle, and working under challenging conditions.
