The Enterprise Records Manager role under the direction of the Director Enterprise Document Management, will be responsible for the bank's records and document management personnel and processes. Manages and controls, active & legacy document/records systems for physical and electronic material and media. Provides records management expertise and support to functional areas to ensure adherence to the organization policies (e.g., records disposition, audits etc.) Collaborate and support the organization's imaging teams on building best practices. Directs Records Management (RM) staff and programs to achieve the assigned responsibilities and results. Responsibilities include, but are not limited to:

  • Provides expertise and input to functional areas that affect the organization's RM polices (e.g., legal hold, eDiscovery, reprographics etc.) Ensures that these functions and processes are in full compliance.
  • Conducts and partners with teams to ensure compliance with disposition processes.
  • Be able to perform formal needs, or gap, analysis, and document results.
  • Develop key performance indicators (KPI.).
  • Assist with managing the active/inactive document records systems for physical and electronic repositories onsite and offsite.
  • Assists with the preparation requirements for source documents, operation and maintenance of imaging hardware, imaging process procedures, quality-control procedures for image validation, regulations, and compliance requirements.
  • Assists with preparation and management of Master Service & Statement of Work agreements related to third party vendors managing documents and records.
  • Directs, coaches, and mentor RM staff to achieve their assigned responsibilities.
  • Manages, control, and directs production, quality assurance, and projects conducted by RM staff.

Required Skills:
  • Knowledge of database applications e.g., SQL, MS Access etc.
  • Knowledge of MS Office products e.g., Word, Excel etc.
  • Build effective and lasting working relationships.
  • Delegate work and manage and instruct RM staff and/or contractors.
  • Uses tactical and business planning methods to achieve medium- and short-term results.
  • Evaluate and communicate benefits of implementing projects; prioritize multiple projects.
  • Develop reports and communicate project status.
  • Estimate RIM staff growth requirements.
  • Communicate appropriately for the task verbally and in writing.
  • Mentor and encourage RM Staff and end users; provide leadership; resolve conflict; motivate others; solve problems.
  • Lead and manage an inclusive workplace that maximizes the talents of each person to achieve RM goals; seek feedback from others and opportunities to master new skills.
  • Recognize employee achievement; exercise good judgment by making sound and well-informed decisions.
  • Able to works closely with others in the organization to evaluate, research, and recommend RM solutions. Also works closely with vendors, suppliers, and other external sources to assist in the evaluation of systems.
  • Comprehensive knowledge of Document & Records Management policies and procedures.
  • Comprehensive knowledge of Document & Records Management imaging systems e.g., Nautilus, iManage, Documentum etc.

Required Experience:
  • High School diploma or GED and minimum 5 years of experience writing policy and procedure in banking Records Management environment.
  • Bachelor's Degree preferred.
  • Professional certifications a plus e.g., Certified Records Manager (CRM); ERM Specialist or ERM Master (AIIM); ECM Specialist or ECM Master (AIIM) also preferred.
