Description We are offering a rewarding role for a proactive and diligent Front Desk Coordinator in the bustling heart of Jersey City, New Jersey. This role primarily involves managing and coordinating a range of facilities, ensuring a seamless workflow and high satisfaction levels among clients. The role requires strong communication skills, a knack for problem-solving, and a keen eye for detail.Responsibilities: Responding to client inquiries and concerns promptly and professionally, ensuring high-quality service delivery and customer satisfaction. Creating, assigning, and communicating work orders to multiple technicians, subcontractors, and vendors, and assisting management in resolving any arising issues. Providing regular reports on the status of open and closed work orders. Maintaining organized and accurate files on work orders, proposals, and departmental files. Creating vendor files and ensuring the accuracy of completed paperwork submitted by vendors. Training vendors on work order and billing procedures, and processing invoices while ensuring proper cost center coding. Assisting with inspections on the facility campus and utilizing PC and/or PDA for work order system, email, and training. Assisting with process and procedure training, and handling other duties as assigned. Leveraging key skills such as Microsoft Office, Microsoft Outlook, and other relevant software to efficiently manage tasks and responsibilities. Applying strong analytical skills to solve problems in standard situations and ensure smooth operations.Requirements Possess skills in training and implementing procedures Experience with invoice management and processing Proficiency in Microsoft Outlook and other Microsoft Office Suites Knowledge of 'About Time' software Familiarity with billing processes and vendor management Experience in check processing and handling paperwork Ability to manage correspondence effectively Experience in performing ad hoc financial tasks Commitment to customer satisfaction Knowledge in coding principles Video management skills, including usage of Zoom Familiarity with PC OS Experience in issuing and managing work orders Strong analytical skills Ability to resolve issues and handle complaints effectively Knowledge of company policies and principles Experience in facilities management Ability to work onsite Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
