Pro-Spec Painting Corporation is a growing commercial painting contractor based in South Jersey. We’re known for quality, reliability, and a practical, no-nonsense approach. We run a small, focused office team—and we’re looking for someone dependable and skilled to support our project and office operations.

Position Overview:

This is a full-time, in-office role ideal for someone with project-based admin and bookkeeping experience, preferably in a contractor environment. You’ll handle everything from vendor docs to job tracking in SAGE 100 Contractor, and support our field team with precision and follow-through.

Key Responsibilities:

Open/close office and manage incoming calls

Maintain job records in SAGE 100 Contractor

Prepare RFQs, POs, subcontracts, and submittals

Coordinate schedules and project documents

Use Microsoft Teams to stay aligned with field crews

Perform general office duties and admin support

Requirements:

5 years general office administration experience

3 years in contractor-style admin or project coordination

Experience with SAGE 100 Contractor or similar

Proficient with Excel, Word, Teams

Skilled with shared file systems and basic networking

Prior use of AI tools for admin tasks

Clear communicator with strong phone presence

Resourceful and eager to contribute to company growth

Nice-to-Haves: Notary commission, bilingual (Spanish), bookkeeping, PDF editing experience

Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Location: Vineland, NJ (on-site only)

Pay: $24.00 – $26.50/hour, based on experience
