Description We are offering a short term contract employment opportunity for a Receptionist in the manufacturing industry located in Parsippany, New Jersey, United States. The Receptionist will be responsible for handling various administrative tasks, greeting visitors, coordinating with vendors, and maintaining office equipment. The role requires strong interpersonal skills, proficiency in Microsoft Office Suite, and experience with multi-line phone systems.Responsibilities: Ensure smooth operation of the office by answering incoming calls and directing them to the appropriate departments. Welcome visitors, assist them with their needs, and guide them to their respective destinations within the premises. Uphold office organization by managing office supplies, including stocking the kitchen and maintaining office equipment. Coordinate with vendors for necessary services and supplies. Handle incoming and outgoing mail, ensuring it reaches the intended recipients. Perform light administrative tasks such as scheduling appointments and organizing files. Handle data entry tasks and manage customer service inquiries via phone or email. Maintain professional communication, especially when dealing with medical device terminologies after receiving necessary training. Assist in other duties as required, ensuring the smooth operation of the office. Requirements Experience in answering multi-line phone systems Demonstrated customer service skills Proficiency in data entry tasks Ability to handle email correspondence effectively Strong interpersonal skills for interacting with staff, clients and suppliers Knowledge of Microsoft Excel for data analysis and reporting Familiarity with Microsoft Outlook for managing emails, appointments, tasks, and contacts Proficiency in Microsoft Word for document creation and editing Experience in organizing files and maintaining a tidy workspace Ability to schedule appointments and manage calendars efficiently Experience in the manufacturing industry would be advantageous High School Diploma or equivalent qualification Excellent communication and organizational skills Ability to multitask and prioritize tasks Attention to detail and problem-solving skills Professionalism and a positive attitude Ability to maintain confidentiality and handle sensitive information Familiarity with office equipment such as printers, scanners, and fax machines Willingness to learn and adapt to new technologies and tools as required.
