The Special Assistant provides essential support to the Chief Real Estate Officer by ensuring follow-through on projects and tasks related to the construction of new and maintenance of existing school facilities, maximizing the CREO’s time by expertly managing her calendar and preparing her for meetings, drafting presentations for Board and school meetings, owning meeting logistics and next steps, and managing special projects. We are looking for candidates who are high-energy and eager to learn and have an expressed interest in real estate, architecture, facilities, and education. The role will provide a unique opportunity to see and learn about school design, construction, facility maintenance, and planning. Location is NYC with travel between regions (including Camden, Newark, Brooklyn, Boston, and Rochester) required about 1-2 times monthly. Administrative TasksOwn, arranger, and manage meetings by creating presentations, taking minutes, and managing logisticsImprove current operations and processes within the Real Estate team to efficiently allocate resources and time Provide direct support to the CREO on projects and processes including research (such as demographic research), data analysis, mapping, and communicationsPerform general administrative duties, including calendar support, credit card reconciliation, and expense reimbursements Systems Management  Manage stakeholders on projects laterally and above including partnering across multiple leaders, teams, and regions for project executionCreate and maintain trackers and metrics to ensure progress on high level work towards goals and deadlinesProject manage and operationalize the CREO’s organization-wide initiatives; activities include building out project plans, owning implementation, and monitoring budget and executionOwn the creation and upkeep of real estate project trackersAssist in monitoring progress of rehabilitation projects; interact with vendors, contractors, and outside professionals CommunicationsProject manage communications, including creating project plans, managing up and across to collect content from stakeholders, and ensuring high quality and on-deadline executionCreate internal and external presentations for a variety of stakeholders: determine presentation goals, outline proposed content, create slides, conduct research, draft talking points, own logistics, and analyze feedbackSynthesize and edit meeting notes into polished, shareable communications RE&F Team SupportBuild and maintain internal systems to ensure the efficiency of the CREO’s teamsPartner with the CREO to develop RE&F team meeting scope & sequence and agendaAbility to connect across teams to serve as a resource and build culture.
