Description We are looking for an Administrative Assistant to join our team in the Non-Profit sector, located in NEW YORK, New York. This role primarily involves providing administrative support to facilitate events, coordinating with various teams and individuals, preparing materials for events, and processing payments. This role is a contract position and requires skills such as administrative assistance, event coordination, data entry, and communication.Responsibilities: Provide administrative support to facilitate the smooth running of events. Arrange participant travel, meals, and tickets as necessary for events. Coordinate with alumni participants and internal teams such as hotels, restaurants, transportation, and vendors. Prepare and distribute materials for events. Communicate event policies to all concerned parties via email and phone. Troubleshoot any participant and project issues that may arise. Enter and process payments in the system using Oracle PeopleSoft and Microsoft Excel. Maintain detailed records and review them regularly to ensure accuracy. Use excellent communication skills to interact with various stakeholders. Utilize administrative assistance skills to ensure smooth operations. Requirements Demonstrated experience in Administrative Assistance within a non-profit setting Proven skills in Event Coordination, including planning, organizing, and executing events Proficiency in Data Entry, ensuring accuracy and attention to detail Experience in Facilitation, coordinating and managing discussions or meetings Ability to prepare and manage Event Materials, such as brochures, handouts, and presentations Proficiency in Detailed Review, ensuring all work is completed to a high standard Experience in Payment Processing, including handling and recording transactions Familiarity with Oracle PeopleSoft, using it to manage data and streamline processes Proficiency in Microsoft Excel, including creating spreadsheets and using complex formulas Excellent Communication skills, both written and verbal, to effectively interact with team members, volunteers, donors, and the public.
