Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Duties Description The Bureau of Special Investigations (BSI) is an investigative office within the New York State Department of Health, Division of Nutrition. The Bureau of Special Investigations (BSI) investigates waste, fraud, and abuse within the Special Supplemental Nutritional programs.The Administrative Assistant (AA) 1 will provide critical administrative office support in the Metropolitan Area Regional Office (MARO) for the Bureau of Special Investigations (BSI). Duties will include triaging telephone calls and routing calls to the appropriate staff; maintaining electronic and other program files; preparing documents and correspondence; maintaining calendars for program staff’s official duties, meetings, and vacation schedules; scheduling meetings including WebEx and creating agendas; starting WebEx meetings and documenting meeting minutes; processing mail and routing official correspondence appropriately both internally and externally; and performing all general office duties for leadership and program staff within the MARO BSI office. Additional Comments Full-time, permanent competitive or non-competitive appointment. Appointment may be made at a trainee level. A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect. If placed at a trainee level, trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency.
