- Ensures efficient operation of the unit and manages the daily workflow.
- Plan, organize, direct, and manage the daily activities of staff.
- Provide constructive feedback and coaching.
- Procure all equipment, furnishings, supplies, contractual services, and other miscellaneous items necessary for the operation of the office.
- Maintain and adequately store office supplies, including maintaining an inventory tracking system.
- Review, reconcile, and prepare invoices for management approval and payment.
- Manage the operation of the mailroom to ensure timely processing of outgoing mail, pickup and delivery of interoffice mail and messenger runs.
- Responsible for facility management. Ensure the proper maintenance and operation of all equipment and machinery, including without limitation copy machines, postage meters, mailing and sorting machines, printers, computers, and telephone systems.
- Review, update, and edit procedural manuals for the Administration and Quality Control unit.
- Quality control functions including intake, tracking, reviewing, and archiving summonses.
- Process weekly payroll and audit timekeeping records for all employees on the project
- Bachelor’s degree required.
- Minimum 5 years of experience in an office environment and 2 years of supervisory experience
- Excellent communication and interpersonal skills
- Ability to manage multiple projects/assignments, prioritize tasks, and adhere to deadlines.
- Must be self-motivated, independent and performance oriented.
- Must be analytical, detail-oriented, proactive, and able to solve problems and handle pressure.
- Proficient in Microsoft Office (Outlook, Word, Excel)
